About The Position

Position Objective: This position will be responsible for overseeing the daily administrative operations of the Consolidated Law Department office located at Jamaica Station, which supports the Long Island Rail Road General Counsel, and Deputy General Counsels for FELA, General Law, Special Projects (Transactions), and Contracts and Procurement. Key duties include office management, finance, and administrative support.

Requirements

  • Baccalaureate Degree in Business Administration or related field.  Demonstrated, directly related, equivalent experience and education may be considered in lieu of a degree, with approval.
  • Minimum of five years of experience in an administrative position.
  • Experience with contract administration and oversight of administrative functions required.
  • Excellent oral and written communication skills required.

Responsibilities

  • This position is responsible for overseeing the daily administrative operations of the Consolidated Law Department located at Jamaica Station.
  • Core responsibilities of the position include managing all aspects of office operations and general office duties.  This includes, but is not limited to, overseeing office mail distribution; ensuring coverage of phones and the front desk; accepting in-person service of legal documents; onboarding new hires; addressing computer issues; managing service contracts; and ordering and distributing office supplies.
  • The position is responsible for overseeing office budgeting and, in coordination with the Business Service Center, ensures sufficient funding for legal service contracts such as Lexis/Nexis, court reporting, and Independent Medical Examiner services and record storage vendors, etc.
  • This role will also be responsible for the timely payment of the invoices associated with these contracts and payment of outside counsel and other legal service bills.  The candidate will participate in the public contract procurement process for hiring new vendors when necessary.
  • Major areas of responsibility include providing administrative support and assisting attorneys with administrative tasks.  This may include managing attorney calendars; scheduling meetings and depositions; managing attorney correspondence; assisting with transactional documents and recordkeeping; and reviewing and assisting with the preparation of legal documents. The candidate must perform full duties attendant to the filing of new Summons and Complaints and handle administrative tasks related to motion practice; process subpoenas; record and update case reserves; and prepare settlement documents.
  • The candidate will manage legal databases, address the office's technological needs, and maintain matter files.
  • Other duties and special projects may be assigned.
