About The Position

Willdan Energy Solutions, a division of Willdan Group, Inc., is seeking an Administration Manager for our Beaverton, OR office. Essential Duties and Responsibilities Serve as a proxy and key delegate to the Director of Administration, acting on their behalf as needed to ensure continuity of operations. Provide high-level administrative and operational support to the Executive Leadership Team, including coordination, reporting, and execution of strategic and operational initiatives. Oversee and manage daily administrative operations to ensure efficient, effective, and compliant business and office functionality. Exercise independent judgment and decision-making authority on administrative, operational, and personnel matters within established guidelines. Supervise, mentor, and develop administrative staff, including hiring, training, performance management, and workload planning. Develop, implement, and maintain administrative policies, procedures, workflows, and internal controls. Partner closely with corporate/shared services, including IT, Human Resources, Payroll, Accounting/Finance, Facilities, Marketing, and Fleet Management, to ensure alignment and effective execution of services. Provide administrative and operational support to teams working remotely across multiple offices and locations throughout the United States, ensuring consistency, responsiveness, and alignment with division standards. Manage administrative budgets, purchasing, vendor relationships, and expense controls. Coordinate facilities operations, office space planning, equipment, and administrative infrastructure. Support compliance initiatives, including documentation, reporting, and adherence to company policies, legal requirements, and regulatory standards. Assist with business and/or general construction licensing, registrations, renewals, and related compliance requirements, as applicable. Coordinate team travel, meetings, and company events as needed. Identify opportunities for operational improvement and administrative efficiencies and implement solutions. Maintain confidentiality and handle sensitive information with discretion and professionalism. Travel occasionally to support leadership, regional offices, or business needs (up to 20% travel).

Requirements

  • Minimum of 5 years of progressive administrative or office management experience, including supervisory or leadership responsibilities.
  • Demonstrated experience supporting executive-level leadership in a professional, fast-paced environment.
  • Proven ability to operate with a high degree of autonomy, discretion, and sound independent judgment.
  • Strong leadership, interpersonal, and relationship-management skills.
  • Excellent organizational, prioritization, and multitasking abilities.
  • Exceptional written and verbal communication skills.
  • Proficiency in Microsoft Office Suite.
  • Ability to collaborate effectively across departments and with corporate/shared services.
  • Willingness and ability to travel up to 20% as business needs require.

Nice To Haves

  • Experience with business and/or general contracting licensing is a plus.
  • Experience in engineering and/or construction industry is a plus.
