About The Position

This position is responsible for managing the daily operations of the Accounts Payable (A/P) Department and ensuring that department tasks are accurately completed on a timely basis. The manager oversees processing and reporting of the Accounts Payable system and is responsible for developing, implementing and maintaining Accounts Payable policies and procedures so they are in compliance with Generally Accepted Accounting Principles (GAAP), regulatory mandates, and internal controls. This position acts as a resource and liaison to internal and external customers on policy , procedures and technical issues.

Requirements

  • Bachelor’s degree or equivalent computerized accounting experience.
  • Must possess the knowledge typically acquired through the completion of a Bachelor’s degree in accounting, finance or related field, or equivalent knowledge and/or experience in healthcare accounts payable, materials management or finance with a proficiency level typically attained with two (2) years supervisory experience and three (3) years’ accounting or finance experience.
  • Advanced skills in Microsoft Excel and intermediate knowledge in other Microsoft Office products.
  • Complex problem solving and resource management skills.
  • Ability to make decisions that comply with company policies and show good judgement.
  • Excellent oral/written communication skills, analytical/strategic skills.
  • Ability to prioritize and perform multiple tasks simultaneously.
  • Good working knowledge of regulatory and accreditation requirements.

Nice To Haves

  • Accounts payable certification.
  • A working knowledge of Lawson software financial applications is highly preferred.
  • Additional related education and/or experience preferred.

Responsibilities

  • Hires, trains, conducts performance evaluations, and supervises the workflow of the Accounts Payable Department. Provides technical assistance, leadership, coaching, recognition, staff development, and disciplinary actions. Establishes priorities, schedules, workloads, controls and work procedures, as well as determining resources needed.
  • Develops, implements, maintains, and enforces effective internal controls for the department to ensure safeguarding of the organization's assets. Manages and coordinates the evolution of departmental policies and procedures in accordance with federal, state, local, and internal regulatory practices. Identifies opportunities for improvement and drives change by improving efficiencies through the use of technology and process improvement.
  • Provides technical assistance, development and training to staff and internal customers as needed. Develops and supports an environment of continuous process improvement to ensure highest level of productivity and quality. Builds and maintains positive working relationships within the department and with other internal and external customers.
  • Audits Accounts Payable records and monitors quality levels. Assists staff with complex, escalated, and non-routine inquiries and issues. Interfaces with vendors, employees, legal, facility contract coordinators and corporate management to resolve accounts payable exceptions; reconciles vendor statements; obtains complete and accurate vendor information; verifies contract brief status and/or existence of valid agreements and/or purchase orders.
  • Creates and distributes reports, analyzes accounts, reviews accruals, and prepares journal entries during the month end close process to ensure accuracy of financial statements. Researches expenses and provides support to internal and external customers. Identifies cost saving measures.
  • Responsible for daily, weekly, and monthly Accounts Payable duties as assigned.
  • Position has departmental responsibility, works under limited supervision using independent judgment to achieve goals. Internal customers are other staff, visitors, supervisors, managers and executives. External customers are patients, visitors, vendors, other facilities, and non-company medical facilities. Has freedom to determine how best to accomplish functions within established business procedures. Confers with AP Director for unusual situations.
