About The Position

The Portfolio Management Executive is responsible for the strategic oversight and day-to-day management of a portfolio of 18 residential properties (cooperatives and condominiums) across New York City. This role ensures operational excellence, financial performance, regulatory compliance, and high levels of resident and board satisfaction.

Requirements

  • 5–10+ years of NYC property management experience (co-ops/condos required)
  • Strong knowledge of NYC housing regulations and co-op/condo governance
  • Proven experience managing multiple properties or a portfolio
  • Excellent financial acumen and budgeting experience
  • Strong communication and leadership skills

  • Bachelor’s degree in Business, Real Estate, or related field (preferred)

Responsibilities

  • Manage a portfolio of ~18 co-op and condominium buildings across NYC
  • Oversee on-site staff including property managers, supers, and administrative teams
  • Conduct regular property visits to ensure standards and operations are maintained
  • Develop, review, and approve annual budgets for each property
  • Monitor financial performance, including operating expenses, reserves, and capital projects
  • Review monthly financial statements and variance reports
  • Partner with accounting teams on audits and financial reporting
  • Serve as primary liaison to co-op and condo boards
  • Attend and lead board meetings, annual meetings, and special sessions
  • Advise boards on governance, financial planning, and capital improvements
  • Address escalated resident concerns and ensure timely resolution
  • Oversee building maintenance programs and capital improvement projects
  • Ensure proper vendor management, contract negotiation, and service delivery
  • Monitor compliance with NYC regulations, inspections, and safety requirements
  • Coordinate emergency response and crisis management as needed
  • Ensure all properties comply with NYC housing laws, co-op/condo bylaws, and regulatory requirements
  • Oversee documentation, filings, and record-keeping for each building
  • Guide boards on best practices and policy implementation
  • Supervise and mentor property managers and support staff
  • Conduct performance reviews and provide ongoing training
