About The Position

This Job Description applies to the position of Maintenance Shipping and Receiving Coordinator in the Maintenance department of VAM USA, Hardy campus, Houston TX. Under the direction of the Maintenance Warehouse Lead, the Maintenance Shipping and Receiving Coordinator will perform their assigned duties in accordance with company policy and procedures to ensure safe operations of equipment and tools while supporting the manufacturing of prototype parts on schedule and according to customer and standards' requirements.

Requirements

  • Safely use forklifts, pallet jacks, and other material‑handling tools to move heavy or bulky items, following all safety protocols.
  • Inventory control principles: cycle counts, stock rotation, reorder points, min/max levels.
  • Maintenance parts and materials: understanding of mechanical, electrical, and industrial components.
  • CMMS systems: work order parts tracking, inventory modules, and data entry accuracy.
  • Understanding of maintenance workflows: PM schedules, emergency repairs, and parts prioritization.
  • Tool management: calibration tracking, tool checkout systems, and accountability.
  • Warehouse operations: receiving, put‑away, picking, staging, and kitting.
  • Inspection and verification: checking shipments for accuracy, damage, and compliance.
  • Freight handling: LTL, parcel, freight classes, bills of lading.
  • Carrier coordination: scheduling pickups, tracking shipments, resolving delivery issues.
  • Proficiency in Microsoft Office Suite including Excel, and PowerPoint.
  • Minimum of 5 years of maintenance warehouse management.
  • High School education or equivalent is required.
  • Strong verbal, written and analytical skills
  • The position will require demonstrated leadership skills and the ability to concisely communicate objectives and results to reach targeted goals.

Nice To Haves

  • Associate’s degree in industrial maintenance, engineering technology, or facilities management experience in OCTG industry is a plus.

Responsibilities

  • Oversee all spare parts, consumables, and critical components used by maintenance technicians.
  • Ensure proper storage, labeling, and disposal in compliance with environmental and safety regulations.
  • Maintain accurate stock levels, set reorder points, and prevent shortages that could delay repairs or production
  • Distribute parts to technicians, document withdrawals, and ensure every transaction is logged in the SAP (CMMS) to maintain traceability and cost accuracy
  • Prioritize urgent repair needs, support preventive maintenance schedules with spare parts and consumables.
  • Handle defective or warranty‑covered parts by preparing return shipments, tracking vendor repairs, and ensuring repaired items are returned and restocked promptly.
  • Track tools, ensure calibration schedules are followed, and maintain accountability for high‑value items.
  • Inspect deliveries for accuracy and damage, verify packing lists, and ensure materials are routed to the correct department or storage location
  • Keep organized records of bills of lading, freight logs, tracking numbers, and vendor paperwork to support audits.
  • Maintain logs for inventory transactions, shipments, receipts, and maintenance parts usage.
  • Track orders, resolve shipping issues, schedule deliveries, and maintain strong relationships with suppliers.
  • Package items securely, generate shipping labels, complete documentation, and coordinate pickups for returns, repairs, or inter‑facility transfers.
  • Assist with scheduled and unscheduled inventory counts, reconcile discrepancies, and improve inventory accuracy.
  • Provide inventory data, request quotes, help source hard‑to‑find parts, and collaborate with procurement to optimize cost and lead times.
  • Follow all applicable work instructions, specifications and requirements.
  • Must follow all company policies, practices and regulations to include Safety and Quality.
  • Any other duties as assigned.
