The Maintenance Coordinator is responsible for coordinating, scheduling, and documenting maintenance activities to ensure the reliable operation of facilities, utilities, and equipment. This role serves as the primary administrator and power user for the Blue Mountain RAM CMMS, ensuring accurate maintenance records, compliance with preventive maintenance programs, and effective communication between maintenance, operations, vendors, and quality teams.

Requirements

  • Associate’s degree or equivalent experience in Engineering, Facilities, Maintenance Management, or a related field.
  • 2+ years of experience in maintenance coordination, facilities operations, or CMMS administration.
  • Hands-on experience with Blue Mountain RAM CMMS or similar regulated CMMS platforms.
  • Proficiency with Microsoft Office (Excel, Word, Outlook) preferred.
  • Experience working in a GMP-regulated environment (pharmaceutical, biotech, medical device, or life sciences).
  • Familiarity with maintenance KPIs, reliability concepts, and asset lifecycle management.
  • Experience supporting audits and inspections.
  • Technical understanding of facilities systems (HVAC, utilities, process equipment) is a plus.
  • Demonstrated experience collaborating within technical teams.
  • Experience with GxP systems.
  • Strong attention to detail and documentation accuracy
  • Excellent communication and coordination skills; Strong organizational skills with the ability to manage multiple priorities

Responsibilities

  • Plan and coordinate maintenance activities (daily, weekly, long-range), including PM, corrective work, calibrations, shutdowns, and special projects aligned with operational priorities; occasional after-hours or weekend support may be required for critical maintenance activities.
  • Manage work order lifecycle in the CMMS, ensuring accurate creation, tracking, completion, and GMP-compliant documentation.
  • Serve as the central coordination point between maintenance, operations, engineering, quality, vendors, and contractors.
  • Administer and optimize the CMMS (Blue Mountain RAM), including asset hierarchies, equipment records, PM schedules, job plans, and spare parts data.
  • Monitor maintenance performance and compliance, ensuring PMs are completed on time, overdue work is escalated, and performance metrics are reported.
  • Ensure regulatory and procedural compliance, including GMP/FDA/ISO standards, audit readiness, data integrity, and proper documentation practices.
  • Support quality systems and continuous improvement, including change control, deviations, CAPAs, SOP development, and audit responses.
  • Manage vendor and contractor activities, including coordination of services, tracking contracts/warranties, and overseeing external maintenance work.
  • Support materials and financial processes, including spare parts tracking, purchase requisitions, invoice reconciliation, and maintenance-related records management.
  • Maintain accurate and timely recording of work time by clocking in and out using designated timekeeping systems.
  • Adherence to company timekeeping policies, including rules regarding overtime, meal breaks, and reporting procedures for any discrepancies.
