About The Position

Position Summary: Support the logistics team with administrative and reporting duties, primarily in the areas of compiling data for analysis.

Requirements

  • 3+ years of experience in administrative support or financial support required.
  • High school diploma or GED required.
  • Strong computer skills with the ability to navigate multiple systems and reports.
  • Advanced Proficiency in Microsoft Excel, including sorting, filtering, formulas, pivot tables V-lookup etc.
  • Ability to learn new systems quickly and follow established workflows.
  • Comfortable working with data, spreadsheets, logs, and digital records.
  • Strong written communication skills for sending internal and external emails, notifications, and follow‑ups.
  • Strong organizational skills with excellent attention to detail.
  • Ability to manage multiple tasks and deadlines in a fast-paced logistics environment.
  • Strong sense of ownership, responsibility, and willingness to support multiple areas of the logistics operation.
  • Ability to sit at a computer for extended periods.
  • Occasional visits to warehouse floors for data collection, communication, or follow‑up.
  • Must comply with all Federal, State, Corporate, Warehouse and Food Safety standards, policies, and guidelines (i.e., HACCP, GMP, SQF, FDA, etc.)

Responsibilities

  • Assist the Supply Chain Logistics Manager and Logistic leaders with daily administrative tasks and reporting.
  • Prepare and send routine communication emails, updates, notifications, and follow-ups to internal teams and external partners.
  • Pull, update, and distribute daily, weekly, and monthly logistics reports.
  • Collect data from Report Central, E1, and various workbooks to consolidate into organized spreadsheets or dashboards.
  • Review data for accuracy and report discrepancies to leadership.
  • Track key performance indicators (KPIs) and assist with performance summaries.
  • Assist with OS&D tracking logs, freight claims data, and exception reports.
  • Assist with financial reporting, cost tracking, and invoice verification.
  • Support the purchasing team with data entry, order tracking, and documentation.
  • Help maintain freight cost summaries and vendor-related information.
  • Accurately enter data into logistics systems, spreadsheets, and shared databases.
  • Maintain organized digital documentation and ensure accessibility for leadership.
  • Perform basic data analysis to identify errors, trends, or areas needing follow‑up.
  • Respond to routine emails and inquiries from internal teams, vendors, and carriers.
  • Provide status updates to leadership regarding reports, issues, and pending tasks.
  • Assist with scheduling, meeting prep, and distributing materials when needed.
  • Identify gaps, inefficiencies, or recurring issues in data or workflows and communicate findings.
  • Support the team with small improvement projects or documentation updates.
  • Help maintain SOPs, forms, and templates used across logistics operations.
