The Procurement Generalist supports the day-to-day operations of the Procurement department by assisting with contractor documentation, insurance tracking and other administrative duties. The purpose of this position is to promote the achievement of long-term goals for TopHAT Logistical Solutions through administrative services.

Requirements

  • High school diploma or equivalent required.
  • 1-3 years of procurement, logistics, or administrative experience.
  • Strong attention to detail and ability to manage multiple deadlines.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and digital document management.
  • Excellent communication and follow-up skills.

Nice To Haves

  • Experience with systems such as Gallagher Verify, OpenForce, and Netsuite is a plus.

Responsibilities

  • Scan, email, and upload insurance-related documents to Gallagher Verify and internal filing systems, ensuring accuracy and accessibility.
  • Track insurance policy expiration dates and proactively send renewal notifications to Location Managers. Monitor contract timelines and issue reminders to appropriate contacts to support timely renewals.
  • Retrieve and manage contractor documentation through onboarding platforms such as OpenForce, ensuring all required materials are complete and up to date.
  • Assist in the creation and distribution of contractors and employee badges as part of onboarding and access control processes.
  • Enter product damage claims into NetSuite, ensuring all supporting documentation is uploaded and accurate. Adjust claim procedures as needed in response to client updates.
  • Serve as a backup for the Claims Specialist, providing coverage and continuity during absences or peak periods.
  • Truck Requests in support of Operations team.
  • Maintain organized and current digital files for the procurement department, supporting audit readiness and operational efficiency.
  • Contribute to departmental initiatives and assist with additional duties and special projects as assigned by management.
  • Other duties may be assigned.
