About The Position

StationMD is a telehealth company dedicated to serving individuals with intellectual and/or developmental disabilities (I/DD). All StationMD clinicians are board-certified and specially trained to treat individuals with I/DD. Clinicians are available 24/7 via telemedicine for urgent and non-urgent medical matters. StationMD also offers scheduled behavioral health telemedicine to individuals with I/DD. In providing this suite of services, StationMD enables individuals with I/DD faster access to high-quality care and substantially reduces unnecessary medical costs. The Licensing Assistant works alongside the Licensing and Credentialing team, taking principal responsibility for maintenance and renewal of existing licensure for StationMD clinicians. Additionally, the Licensing Assistant completes support tasks as assigned by the Licensing Manager and Specialist to aid in processing new license requests. This person is responsible for researching regulatory requirements as set forth by state licensing boards, compiling and submitting documentation to support licensing operations, and interacting with StationMD clinicians and licensing boards in states where these clinicians may be placed on assignment to practice telemedicine. This is a fast-paced position that requires a high level of critical thinking skills and the ability to work independently. The qualified candidate should be reliable, resourceful, and organized.

Requirements

  • Ability to organize and prioritize work and manage multiple priorities/projects at one time
  • Excellent verbal and written communication skills including letters, memos, and emails
  • Excellent attention to detail with a proactive approach to meeting all deadlines and deliverables/goals
  • Ability to research and analyze data independently
  • Ability to multi-task and work independently with minimal supervision
  • Ability to establish and maintain effective working relationships with clinicians, management, staff, and contacts outside the organization
  • Proficient use of Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Teams), Adobe Acrobat, and internet resources (State & Federal Board websites) is a plus

Responsibilities

  • Maintain and renew existing medical licenses, prescriptive authority, and controlled substance registrations for StationMD clinicians
  • Monitor and track upcoming expirations, renewal requirements, and all related tasks
  • Identify required renewals and their associated timelines based on internal requirements for business operations
  • Research and identify the support materials needed to complete renewal applications per state regulatory requirements
  • Communicate with clinicians to acquire the necessary support materials, including certificates for continuing education, national board certification, background checks, etc.
  • Complete timely and accurate renewal submissions to ensure licenses are renewed prior to expiration
  • Perform all necessary follow-up with licensing boards to ensure timely renewals
  • Maintain thorough documentation of renewal requirements and status of related tasks
  • Assist the Licensing and Credentialing team with support tasks, including but not limited to:
  • Drafting and compiling documents in support of license applications and collaborative practice agreements
  • Maintenance of internal filing systems and online credentialing databases
  • Researching regulatory requirements
  • Requesting primary source verifications
  • Follow-up with state licensing boards
  • Monitoring license application status and conducting problem resolution
  • Maintain regular communication with StationMD management staff, clinicians, and state licensing boards to ensure Licensing and Credentialing operations remain on track with business goals
  • Other duties as assigned
