Servbank is seeking a Legal Workflow Specialist to work within the Chief Legal Officer’s Office in our Melville, New York location. Under the direction of the Chief Legal Officer, the Legal Workflow Specialist will provide operational, administrative, and workflow support to our Legal team. This role is essential in helping manage legal workflows, provides support to internal staff and business units, and maintains accurate documentation across the department. The ideal candidate is proactive, detail-oriented, and comfortable working in a fast-paced environment with sensitive information. Requirements

  • 2+ years of experience in legal administration, legal operations, or an equivalent support role. Experience supporting an in-house Legal department is a plus.
  • Proficiency in Microsoft 365 (Outlook, Word, Excel, SharePoint, Teams).
  • Candidate should be familiar with e-filings in state and federal courts in New York, and other jurisdictions where needed.
  • Candidate should be familiar with legal research software in either LexisNexis, or PACER search protocols.
  • Displays excellent communication, organization and interpersonal skills, both written and verbal, and possesses the ability to successfully troubleshoot issues, alongside the capability to multitask, properly prioritize and consistently deliver superior work product.
  • Strong sense of accountability and attention to detail, taking ownership over projects and responsibilities, and helping resolve issues proactively would be desired and expected.
  • Maintains strict confidentiality in all aspects of the Office of the Chief Legal Officer, and any communications and/or information thereto concerning company customers, its employees, management, clients, vendors, and the like.

Responsibilities

  • Enhances the Legal department’s efficiency by owning intake, routing, tracking, and continuous improvement of legal workflows across contracts, matters, subpoenas, regulatory responses, and outside counsel engagements.
  • Assist the Staff with administrative support, including but not limited to scheduling, file management, transcribing minutes and collecting internal documentation.
  • Maintain litigation calendar, log all pertinent information, and conduct relevant legal research under the direction of corporate counsel.
  • Maintain and update legal databases, matter logs, contract repositories, and internal trackers.
  • Track service-level agreements (SLAs) and ensure internal deadlines are met.
  • Process legal invoices, manage outside counsel billing, and assist with budget tracking as needed.
  • Assist with supporting compliance, regulatory and corporate governance activities as needed.
  • Perform additional duties as assigned to support overall departmental efficiency and support communication around legal processes, expectations and service standards.
  • Assist with special projects, audits and process improvements.
