What you will do: We are looking for a Legal Services Administrator who can help shape our vision and support our mission. Here is what the position will look like.

Requirements

  • Bachelor’s degree in business administration or healthcare related field preferred. Equivalent combination of experience and/or education, including a paralegal certificate, may substitute with a preference for five years progressive relevant work experience.
  • Minimum of five years’ legal experience supporting senior or partner level attorneys.
  • Requires advanced proficiency in Microsoft applications, Internet and legal research skills.
  • Knowledge of legal resources such as LexisNexis, WestLaw, etc. required.
  • Demonstrates support for the company’s mission, vision and values.
  • Position requires superior written and verbal communication skills.
  • Must be detail oriented and highly organized.
  • May be required to manage multiple priorities and projects with tight deadlines.
  • A valid driver's license and proof of current auto insurance will be required for any position requiring driving.

  • Knowledge of the health care industry, insurance law, and/or business operations preferred.

Responsibilities

  • Provides contract administration support for the Legal Department.
  • Disseminates contract information to other departments as appropriate.
  • Coordinates communication with internal and external parties regarding contract development and execution.
  • Compiles all information needed for the Legal Department to fulfill contract requests.
  • Ensures appropriate review and approval of specific language and term modifications and ensures accuracy and completeness of contract documents prior to execution.
  • Develops, organizes and/or maintains electronic databases and legal files for contracts that are developed by the Legal Department.
  • Creates and manages the flow of tracking reports for active company contracts, manages the renewal/termination process of active contracts through interaction with company personnel and external parties, and ensures the timeliness and accuracy of contract renewals/terminations.
  • Maintains a working knowledge of Federal, state and local laws, rules and regulations that govern protected health information, and the lines of business of all entities that Access Management Services supports.
  • Conducts internal research as assigned, and responds to information requests made by department directors and professional staff to the Legal Department.
  • This may include assistance with developing a legal tracking program of new legislation/regulations impacting Access Management Services and all the entities it supports.
  • Composes correspondence and handles legal filings, performs other routine administrative tasks.
  • Tracks and maintains, in coordination with external legal counsel as appropriate, documents and information regarding legal action(s) involving Access Management Services and all the entities that it supports.
  • Prepares draft audit letters for distribution to auditors and external counsel.
  • Gathers litigation and billing information to prepare draft responses to auditors’ requests for information.
  • Assists in the issuance of stock documents, maintains records of such documents, and administers the completion of all required documents that record the grant or repurchase of stock for all applicable Company entities as needed.
  • Administers all UCC Filings/Searches for the Legal Department UCC Filing/Search function.
  • Prepares and maintains UCC filings.
  • Administers Copyright and Trademark Legal Department program in accordance with Company policies.
  • Administers and manages all Copyright and Trademark filings and search requests.
  • Develops and maintains forms and templates to support Legal Department functions.
  • Attends meetings with the Legal Department.
  • Manages Legal Department spreadsheet containing project updates and work flow.
  • Supports various company Committees and members of the Executive Team, as appropriate.
  • Assists with special projects as assigned.
  • Provides support for the governance functions of the Legal Department, including maintaining corporate minutes and record books.
  • Under the direction of the CEO and CLO, produces legal documents for board meetings and maintains board meeting minutes.
