We’re hiring a Licensing and Legal Compliance Administrator at our Corporate Headquarters in Columbia, MO, and we’re looking for someone who’s ready to grow with us, bring energy and drive to their work, and help us build the future of construction. This position is hybrid eligible. The Licensing and Legal Compliance Administrator is responsible for ensuring that all EquipmentShare subsidiaries, branch locations, and operational entities across the United States maintain the appropriate local, state, and federal licenses, permits, and certifications required to operate legally. This role safeguards the company’s authority to conduct business, operate vehicles, and manage specialized materials by proactively managing renewals, tracking regulatory changes, and coordinating with internal and external stakeholders.

Requirements

  • Strong working knowledge of federal, state, and local licensing and regulatory requirements, particularly for transportation, construction, logistics, and brick-and-mortar business operations.
  • Proficiency with multiple technology platforms and business tools, including Microsoft Office Suite, Google Workspace, Adobe, DocuSign, and compliance or contract management software.
  • Excellent organizational and documentation skills with exceptional attention to detail.
  • High level of professionalism, integrity, and discretion in handling sensitive information.
  • Ability to think critically and apply that knowledge to decision making, particularly under ambiguous circumstances.
  • Strong research and analytical skills.
  • Ability to interpret, apply, and communicate complex regulatory and compliance requirements.
  • Strong written and verbal communication skills.
  • Demonstrated ability to work independently and collaboratively across teams, managing multiple priorities effectively in a fast-paced environment.
  • At least 2 years of experience in business licensing, compliance administration, or regulatory operations with a nationwide organization.
  • Ability to sit or stand for extended periods
  • Must be able to use a computer for long periods of time

Nice To Haves

  • Bachelor’s degree in Business Administration, Legal Studies, or a related field preferred.

Responsibilities

  • Maintain a comprehensive database of all operational, corporate, and equipment-related licenses (including state registrations, Certificates of Good Standing, on-road vehicle registrations, hazardous materials transport licenses, DOT and FMCSA authority, etc.)
  • Monitor renewal dates and ensure all required licenses are renewed and in good standing before expiration.
  • Liaise with local, state, and federal agencies to ensure compliance with applicable laws and regulations, as necessary.
  • Support internal and external audits by maintaining accurate and accessible records of all licensing documents.
  • Partner with Operations, Fleet, Safety, and Real Estate Compliance teams to verify that all EquipmentShare subsidiaries and branch locations are authorized to operate in their respective jurisdictions.
  • Develop and maintain standard operating procedures for license management, renewal processes, and compliance reporting.
  • Proactively communicate upcoming expirations, new licensing requirements, or regulatory changes to leadership and affected teams.
  • Utilize company systems to digitally store and manage license documentation for efficient retrieval and tracking.
