About The Position

Konica Minolta currently has an exciting opportunity for a Legal Administrator! This is located here in Ramsey, NJ The Legal Administrator provides high-level administrative and operational support to the Legal Department. This role is responsible for managing legal workflows, coordinating outside counsel billing and approvals, maintaining legal records and matter files, and supporting the day-to-day efficiency of the legal function. The position requires strong organizational skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced corporate environment.

Requirements

  • 5+ years of experience in a legal administrative, executive assistant, or law firm support role.
  • Experience supporting in-house legal departments or senior legal executives.
  • Strong organizational and time-management skills with the ability to prioritize competing demands.
  • Excellent written and verbal communication skills.
  • High level of professionalism, discretion, and judgment.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).

Nice To Haves

  • Experience with legal billing and matter management systems.
  • Familiarity with contract lifecycle or document management platforms.
  • Prior experience coordinating with outside counsel.
  • Paralegal certificate or relevant legal education (not required).

Responsibilities

  • Provide administrative support to the SVP & General Counsel and Legal Department attorneys.
  • Coordinate and manage legal department calendars, meetings, and scheduling.
  • Prepare, edit, and format legal correspondence, memoranda, reports, and presentations.
  • Maintain legal files, contracts, and matter documentation in document management systems.
  • Track deadlines, renewals, and key legal dates; follow up to ensure timely completion.
  • Serve as the primary point of contact for outside counsel administrative matters.
  • Process, review, and route outside counsel invoices for approval using the company’s legal billing system.
  • Monitor billing compliance with outside counsel guidelines and flag discrepancies.
  • Assist with matter setup, vendor onboarding, and engagement documentation.
  • Assist attorneys with litigation and regulatory matters, including document collection and organization.
  • Coordinate service of process, subpoenas, and document requests as needed.
  • Maintain matter status trackers and provide reporting support.
  • Support contract intake, routing, and tracking processes.
  • Assist with compliance documentation, audits, and internal reporting requests.
  • Help manage signatures and execution of agreements.
  • Act as a liaison between Legal and internal stakeholders (Finance, HR, Procurement, Compliance).
  • Support departmental initiatives, process improvements, and system implementations.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Perform other related duties as assigned.
