This dual-role position is essential to creating a welcoming and efficient environment - for both clients and our internal team. You’ll greet visitors, manage calls, coordinate schedules, and support legal staff with intake and administrative tasks. Requirements

  • Excellent verbal and written communication
  • Strong organizational skills with attention to detail
  • Ability to manage multiple priorities in a busy office setting
  • Friendly and professional demeanor with a focus on client service
  • Dependable and punctual
  • Proficient in office technology and Microsoft Office Suite (Word, Excel, Outlook)
  • College degree, some college education, or current student status preferred
  • Valid driver’s license
  • Team-oriented mindset

Nice To Haves

  • Two years of experience in a law firm or similar setting
  • Bilingual (Spanish/English)
  • Customer service background
  • Inbound telemarketing experience

Responsibilities

  • Greet and assist clients and visitors with professionalism and warmth
  • Answer and direct incoming calls, take messages, and handle general inquiries
  • Manage incoming and outgoing mail, including sorting and distribution
  • Maintain a tidy and organized reception area and conference rooms
  • Assist with filing, photocopying, scanning, and other routine office tasks
  • Schedule appointments and manage the office calendar
  • Support attorneys and staff with administrative and intake-related tasks
  • Set the tone for an exceptional client experience
  • Deliver prompt, detailed, and accurate intake support to ensure client needs are met
  • Other duties as assigned
