About The Position

Crusoe is seeking a Legal Operations Specialist to serve as a key execution partner, bridging our growing Legal and Legal Operations teams. This role focuses on establishing the administrative and technological foundation for our legal department, ensuring seamless transactional support and centralized legal knowledge management. You will be instrumental in optimizing how the legal team leverages its technology stack, including platforms like Ironclad CLM, Google Workspace, MS Word, Slack, and Asana, to maintain consistency and efficiency across all operations. This role is ideal for someone who is highly organized, technologically adept, and energized by building systems and processes in a fast-moving environment. You don't need to be a lawyer, but you do need to think like an operator.

Requirements

  • 4+ years of experience in legal operations, transactional support, legal billing, or a related field at a law firm or in-house legal department.
  • An almost obsessive commitment to document accuracy, version control, and process precision — especially in high-stakes, time-sensitive environments.
  • Solid working knowledge of contract management and document tools (Ironclad, DocuSign, Google Workspace, MS Word) and comfort learning new platforms quickly.
  • Proven ability to manage multiple concurrent workstreams, track deadlines, and keep complex processes moving without dropping the ball.
  • Demonstrated ability to handle highly sensitive, proprietary, and confidential information with discretion and professionalism.
  • Clear and professional communicator who can work effectively with lawyers, finance partners, and outside vendors alike.

Responsibilities

  • Coordinate logistics for complex transactions including managing electronic signature platforms (DocuSign), organizing signature packets across multiple parties, and ensuring all executed agreements are properly archived with complete metadata.
  • Maintain document version control and perform meticulous redaction of sensitive data — including PII and trade secrets — from disclosure schedules and transaction documents.
  • Support IP portfolio administration including internal docketing, deadline tracking, and correspondence management for trademark searches and filings.
  • Serve as a operational point of contact for outside counsel on vendor onboarding into Crusoe's enterprise systems.
  • Manage the process for submitting invoices to Accounts Payable and ensuring proper documentation for vendor payments.
  • Help administer the process for tracking legal spend against budgets and reporting to finance partners.
  • Maintain and improve legal operations workflows, templates, and playbooks that support the broader Legal team's efficiency and consistency.
  • Manage and organize legal files, contracts, and records within contract management systems (e.g., Ironclad, Google Drive).
  • Identify opportunities to streamline repetitive processes and propose practical solutions.
