About The Position

The Legal Medical Records Specialist is responsible for managing, securing, and releasing medical records in compliance with federal and state laws, HIPAA regulations, and company policies. This role ensures accurate and timely fulfillment of legal requests, subpoenas, and authorizations related to patient imaging records while maintaining confidentiality and data integrity. This person will also cover the front desk in a Patient Coordinator role two days a week. The schedule is Monday - Friday 8:30 - 5:00.

Requirements

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Health Information Management or related field preferred.
  • Minimum 2 years in medical records, health information management, or legal compliance in a healthcare setting.
  • Strong knowledge of HIPAA and state privacy laws.
  • Excellent attention to detail and organizational skills.
  • Ability to handle confidential information with discretion.
  • Proficient in Microsoft Office and healthcare record systems.

Nice To Haves

  • Experience with imaging systems (PACS/RIS) and electronic health records (EHR) preferred.

Responsibilities

  • Process and respond to legal requests for medical records, including subpoenas, court orders, and attorney authorizations.
  • Review and validate requests for compliance with HIPAA and applicable state regulations.
  • Retrieve, prepare, and release imaging records and related documentation accurately and within required timeframes.
  • Maintain detailed logs of all requests and disclosures for auditing and compliance purposes.
  • Collaborate with legal counsel, compliance officers, and imaging staff to ensure proper handling of sensitive information.
  • Assist in audits and investigations related to medical record access and release.
  • Stay current on changes in healthcare privacy laws and imaging documentation standards.
