The Legal Billing Assistant is responsible for activities related to the firm's billing process for specific portfolios as assigned. This individual will work with billing attorneys as well as associated internal and external clients to ensure that the processing of proformas/prebills is completed consistently in an accurate and timely manner.

Requirements

  • The Legal Billing Assistant should have 1-2 years of relevant experience.
  • A Bachelor's degree in Business, Accounting, Finance, or a related field is strongly preferred.
  • Proficiency in the Microsoft Office suite, particularly Excel and Word, is essential.

Nice To Haves

  • Experience with legal billing software such as Aderant or Elite 3E is a plus but not required.

Responsibilities

  • Assists with generating Prebills, reviewing Prebills to verify that time entries and billing setups are correct, as well as assist in making any preliminary edits.
  • Sends out Prebills and ensure that attorneys receive, review and return the edited Prebills in a timely manner.
  • Assists with the preparation and processing of client invoices, ensuring that all billing is accurate, timely and compliant with client guidelines.
  • Generates and review bills after edits are completed.
  • Verifies daily new matters to ensure the correct client information has been entered into the system.
  • Communicates with Attorneys and Legal Assistants to address any billing questions or report requests.
  • Coordinates successful submission of invoices electronically, including the setup of electronic clients, monitoring submissions for acceptance, troubleshooting issues, communicating e-billing changes to affected parties, and confirming proactively that invoices conform to requirements.
  • Researches and resolve billing discrepancies.
  • Coordinates cost back-up to send to the client.
  • Completes tasks accurately and promptly in compliance with client policies, demonstrates excellent attention to detail and the ability to work effectively under pressure to achieve both individual and team goals.
  • Takes a proactive approach to navigating challenges and resolving problems, as well as strong customer service skills combined with outstanding written and verbal communication abilities.
