About The Position

HireNow Staffing is partnering with a highly regarded law firm to identify a seasoned Legal Assistant for its Manhattan office. This role is designed for a legal professional who understands the pace, precision, and discretion required in a sophisticated legal environment. The successful candidate will provide high-level support to attorneys and legal staff, maintain organized workflows, and ensure seamless administrative execution. Candidates must demonstrate employment stability and proven experience within a law firm setting. Applicants with frequent short-term roles will not be considered.

Requirements

  • Minimum of 3 years of legal assistant or legal administrative experience within a law firm.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Demonstrated experience proofreading and formatting complex legal documents.
  • Experience with electronic court filing systems.
  • Ability to manage competing deadlines in a fast-paced environment.
  • Professional written and verbal communication skills with client-facing experience.
  • Proven employment stability (no frequent short-term tenures).
  • Authorized to work in the United States without current or future sponsorship.
  • Ability to work onsite in Manhattan as business needs require.

Nice To Haves

  • Experience supporting multiple attorneys simultaneously.
  • Familiarity with legal document management platforms (e.g., iManage, InTapp, LMS+, Kofax/Nuance).
  • Experience assisting with billing processes and expense tracking.
  • Exposure to litigation procedures, probate matters, or complex practice areas.
  • Strong organizational systems mindset with the ability to anticipate attorney needs.

Responsibilities

  • Provide comprehensive administrative assistance to assigned attorneys, ensuring all deliverables meet strict deadlines and quality standards.
  • Prepare, format, and finalize legal documents including pleadings, correspondence, agreements, and internal memoranda.
  • Maintain active calendaring of court dates, deadlines, and client meetings with precision and accountability.
  • Coordinate complex scheduling across multiple stakeholders.
  • Proofread and edit legal materials for grammar, formatting consistency, and accuracy prior to distribution or filing.
  • Manage electronic filing processes with state and federal courts.
  • Organize and maintain both digital and physical case files in accordance with firm protocols.
  • Track pending matters and proactively follow up to ensure timely progression.
  • Serve as a professional point of contact for clients, opposing counsel, and court personnel.
  • Coordinate meeting logistics, prepare materials, and ensure confidentiality standards are upheld.
  • Draft and manage routine correspondence under attorney supervision.
  • Assist with time entry review, billing support, and preparation of related documentation.
  • Process expense reimbursements and support reporting requirements.
  • Track continuing legal education (CLE) credits and related compliance items as needed.
  • Maintain organized records and workflow tracking tools.
