About The Position

Our client is a leading and well-established law firm seeking a skilled and proactive Legal Secretary to join their dynamic West Palm Beach office. This is a fantastic temp-to-hire opportunity for a detail-oriented professional to provide comprehensive administrative support to a team of attorneys. The ideal candidate will be a master of legal procedure, a proficient multitasker, and possess exceptional communication skills. You will play a key role in ensuring the smooth operation of legal matters, from document preparation to calendar management.

Requirements

  • Minimum of 3+ years of experience as a Legal Secretary or Legal Assistant in a law firm environment.
  • Proven expertise in Florida state and federal court rules, filing procedures, and e-filing systems.
  • Advanced proficiency in Microsoft Office Suite (Word, Outlook, Excel) and document management systems.
  • Exceptional grammar, spelling, proofreading, and transcription skills.
  • Strong knowledge of legal terminology, document formats (pleadings, discovery, etc.), and the litigation process.
  • Superior organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Professional communication style, both written and verbal, with clients, court personnel, and colleagues.
  • High level of discretion and ability to handle confidential information.

Nice To Haves

  • Associate's degree or Paralegal Certificate is a plus.

Responsibilities

  • Transcribe dictation and expertly format legal correspondence, pleadings, motions, and other documents.
  • Prepare rough drafts, proofread, and finalize legal documents with a high degree of accuracy.
  • File legal documents with various courts (state and federal) in compliance with specific rules and deadlines.
  • Manage attorney calendars, tracking critical dates for hearings, depositions, responses, and trials.
  • Open new client files, conduct conflict checks, and draft engagement letters.
  • Enter, proofread, and balance attorney billable time entries on a regular basis.
  • Coordinate mailings, including certified, registered, FedEx, and courier services, adhering to client guidelines.
  • Answer, screen, and direct phone calls with utmost professionalism and discretion.
  • Schedule depositions and assist with file preparation for hearings and trials.
  • Maintain organized and up-to-date physical and electronic filing systems.
  • Review and process client bills and vendor invoices for payment.
  • Mentor and train new staff members as needed.
