About The Position

Talley Law Group is seeking a detail-oriented, tech-forward Legal Administrative Assistant to support a fast-moving and growing legal team. This is a hybrid role combining structured administrative support (50%) with hands-on execution of AI and automation workflows (50%). This role focuses on executing and implementing systems and processes designed by leadership, not building them from scratch. The position plays a key role in supporting operational efficiency while ensuring day-to-day administrative functions run smoothly across the team. The ideal candidate enjoys learning new tools and applying technology, specifically AI, to improve how work gets done.

Requirements

  • 3+ years of experience in an administrative, executive assistant, or legal support role with strong execution and organizational responsibility.
  • Experience in administrative operations and document management, with billing experience preferred, but not required.
  • Experience with document management systems such as SharePoint or similar platforms.
  • Strong attention to detail, organizational skills, and ability to manage multiple priorities in a fast-paced environment.
  • Exercises discretion and maintains confidentiality when handling sensitive legal and client information.
  • Collaborative working style with the ability to take direction and execute within defined processes.
  • Experience using AI tools (e.g., ChatGPT, Claude, or similar) to support work tasks
  • Microsoft Office (Word, Excel, Powerpoint, Outlook)
  • Comfortable adopting new tools and platforms quickly

Nice To Haves

  • Microsoft Power Platform (Power Automate, Power Apps, etc.)
  • SharePoint or similar document management systems
  • Practice management software (e.g., Karbon)
  • Experience in Legal, professional services, or similarly structured and process-driven environments
  • Larger organizations with exposure to advanced tools and cross-functional collaboration
  • Candidates who demonstrate strong curiosity and aptitude for learning AI tools and automation are highly desirable

Responsibilities

  • Execute automation workflows following process maps and specifications developed by leadership.
  • Use AI tools (e.g., Claude or similar) to support document drafting, research, and workflow execution
  • Assist in implementing automation workflows using tools such as Microsoft Power Automate and similar platforms.
  • Assist in identifying and executing process improvements across administrative and legal functions using technology. Continuously explore innovative tools and solutions to enhance productivity
  • Maintain and update existing automation and systems as processes evolve
  • Correspond with clients on administrative follow-ups to ensure timely and professional communication.
  • Assist with office operations and administrative needs to support day-to-day team functions.
  • Organize and maintain team documents, files, and system records to ensure accurate and accessible information. Support legal administrative processes and compliance filings to keep matters on track and deadlines met.
  • Provide day-to-day support to leadership (calendar, expenses, scheduling, etc.).
  • Review meeting and dictation recordings and document action items for distribution to the appropriate stakeholder.
  • Assist with time entry, billing coordination, and expense management.
