We are seeking a detail-oriented Legal Assistant to support our litigation counsels in managing all aspects of case tracking and legal fee management. The ideal candidate will ensure case tracking being well recorded and case calendar being well managed, ensure accurate and timely billing processes, maintain financial records, and assist with litigation status tracking. This role is critical to the case management and the Company’s financial operations. Location: Parsippany, NJ Reports To: Chief Litigation Counsel and Legal Head of Product Division

Requirements

  • Associate’s degree or higher in Business, Accounting, Paralegal Studies, or related field.
  • Minimum 3 years of experience in legal billing, law firm finance, or as a legal assistant.
  • Experience with litigation practices (e.g., e-billing, litigation support workflows) is a strong plus.
  • Proficiency in legal billing software.
  • Advanced MS Excel skills.

Nice To Haves

  • Chinese speaking is a plus

Responsibilities

  • Invoice Preparation & Processing;
  • Review, and edit pre-bills and final invoices for litigation matters.
  • Ensure compliance with billing guidelines.
  • Time & Expense Tracking;
  • Monitor attorney time entries and expense reports for accuracy.
  • Follow up on missing entries and resolve discrepancies.
  • Financial Coordination: Collaborate with finance teams to ensure timely payment processing.
  • Prepare reports on accounts payable and billing status.
  • Case Management and Support
  • Organize case chronology;
  • Structure, index, and manage evidence and documents (discovery);
  • Maintain case calendar;
  • Handle routine communication with clients, courts, and opposing counsel.
