Lippes Mathias LLP is seeking a skilled and motivated Legal Assistant to join our West Palm Beach office. This role is essential to supporting the administrative and operational needs of our legal team. We’re looking for someone who is detail-oriented, proactive, and thrives in a collaborative environment. The pay range provided in this listing is a good faith estimate for this position based on the location that we are hiring for. Criteria included but not limited to, skill level, education, and experience, will determine where a candidate falls within the range. Requirements
- Minimum of 2 years of experience as a legal assistant
- Proficiency in Microsoft Word, Outlook, and Excel
- Familiarity with document management systems, iManage is a plus
- Strong written and verbal communication skills; comfortable interacting with clients
- Typing speed of 65+ WPM with high accuracy
- Ability to handle confidential information with discretion
- Highly organized, detail-oriented, and capable of multitasking in a fast-paced environment
- Team-oriented with a collaborative mindset
Nice To Haves
- Background in real estate, finance, or title company work preferred
- Familiarity with document management systems, iManage is a plus
Responsibilities
- Draft, format, and proofread legal documents with accuracy and attention to detail
- Organize and maintain both electronic and physical filing systems
- Schedule appointments, meetings, and court hearings for attorneys
- Manage incoming and outgoing communications, including phone calls, emails, and mail
- Prepare memoranda to open new legal matters
- Record documents in public records across Florida counties
- Occasionally file documents using the Florida State E-Filing Court system
- Maintain and monitor critical dates and deadlines using calendaring tools
- Assist with billing and expense reporting
- Provide general clerical and administrative support as needed
