About The Position

The Legal Assistant of Litigation provides critical support to attorneys and litigation teams by preparing documents, generating Excel‑based reports, organizing case materials, coordinating deadlines, and managing workflow across multiple projects. This role helps ensure smooth day‑to‑day operations through business research, calendaring, travel and expense coordination, and maintaining both electronic and paper records. You’ll serve as a key partner to internal teams and outside counsel, contributing to efficient processes and timely legal reporting.

Requirements

  • Bachelor’s degree preferred; equivalent experience considered
  • Minimum 4–5 years of experience in a law firm or corporate legal department
  • Litigation experience required
  • Strong written and verbal communication skills
  • Advanced Microsoft Excel skills for reporting
  • Proficiency in Microsoft Office Suite (Word, Outlook, Teams), Adobe, and general office technology
  • Highly organized with exceptional attention to detail
  • Ability to manage multiple projects across different subject areas
  • Professional interpersonal skills with the ability to build trust, work with senior leadership, and maintain confidentiality
  • Self‑starter who works effectively in both in‑person and remote environments
  • Strong problem‑solving skills with the ability to analyze information and recommend solutions
  • Ability to document processes and update guidelines and procedures
  • Work 8-hour days with flexibility for overtime when necessary
  • Conduct business in a professional and ethical manner to reinforce goodwill and profitability for the company
  • Position will be located in Walnut Creek, CA with the opportunity to work in a hybrid setting onsite when required and in a occasional remote capacity as confirmed with management (#LI-hybrid)

Responsibilities

  • Prepare legal documents, litigation materials, and compliance reports for internal leadership, executives, and the Board of Directors.
  • Support the outside counsel management process, including billing coordination, review, and payment routing.
  • Manage scheduling, calendaring, travel, meetings, correspondence, document retrieval, and overnight deliveries.
  • Prepare and process expense reports and government agency filings as needed.
  • Coordinate distribution, completion, and return of contracts, forms, and related documents, ensuring deadlines are met.
  • Draft memos and communications to support department needs.
  • Oversee office technology, supply management, mail intake, and invoice processing.
  • Prepare Ethics Committee claims reporting.
  • Assist with litigation reserve reporting, including scheduling, drafting, and circulating materials to legal and accounting partners.
  • Prepare quarterly litigation and compliance reports for Executive Leadership and the Board of Directors.
  • Coordinate legal audit letters to ensure timely responses from outside counsel.
  • Collaborate with national accounting teams to maintain financial reporting accuracy for litigation matters.
  • Review and edit ethics reports.
  • Maintain new case reports and significant matter calendars.
  • Edit the annual business affairs narrative with accounting partners.
  • Manage new case intake and serve as liaison between business units, legal staff, and outside counsel.
  • Partner with HR and cross‑functional teams to coordinate subpoena reviews, document collection, and related actions.
  • Support Payroll with garnishment reviews and related legal responses.
  • Organize subpoena responses and document productions.
  • Prepare and distribute monthly litigation expense projections, key‑date calendars, and new case lists.
  • Collaborate with business divisions to draft settlement agreements and provide customer service guidance, with manager review.
  • Performs other duties as assigned.
