About The Position

Reynolds Parrino Shadwick P.A., an AV rated insurance defense firm based in St. Petersburg, FL, is seeking a highly motivated and experienced Personal Injury Insurance Defense Legal Assistant to join our team. This role supports the firm’s personal injury insurance defense practice by providing comprehensive administrative and legal assistance to attorneys, including managing calendars and deadlines, coordinating court related proceedings, preparing and filing legal documents, and serving as a primary point of contact for clients, courts, and opposing counsel. The ideal candidate is hardworking, organized, detail oriented, self-directed, and able to maintain professionalism while managing multiple priorities in a fast-paced legal environment.

Requirements

  • Minimum of 2 years of relevant experience required, preferably in litigation defense.
  • Experience with Florida E-portal, JAWS and court docket websites
  • Experience with data entry across multiple platforms
  • Proficiency in Outlook, Word, Excel, and Adobe.
  • Strong written and verbal communication skills
  • Ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent time and task management skills
  • Highly organization with strong attention to detail.
  • Capable of working independently
  • Commitment to professionalism and integrity in all tasks

Responsibilities

  • Communicate daily with clients, attorneys, judges, judicial assistants, opposing counsel, and other involved parties via phone and email, ensuring clear, timely, and professional correspondence.
  • Coordinate, schedule, and manage hearings, mediations, depositions, phone conferences, and meetings, including confirming availability, preparing schedules, and collaborating with internal and external parties to ensure accuracy and efficiency.
  • Maintain and manage calendars for multiple attorneys, tracking deadlines, court dates, and appointments to ensure compliance with procedural requirements and firm standards.
  • Prepare, draft, and revise notices, pleadings, correspondence, and other legal documents with a high level of accuracy and attention to detail.
  • Process e-service and e-filing of legal documents through appropriate electronic filing systems, ensuring filings are timely, complete, and compliant with court rules.
  • Utilize electronic case management software to organize case files, update case activity, track deadlines, and support efficient workflow management.
