About The Position

The Minnehaha County State's Attorney's Office invites applications for a Legal Administrative Specialist to join our team! As a vital member of our dynamic team of legal professionals, you'll play a crucial role in the justice system. Our office is home to 11 Legal Administrative Specialists who play a pivotal role in supporting attorneys with legal document preparation and the arrangement of legal proceedings. As a Legal Administrative Specialist, you'll have the opportunity to make an impact on our community. Your role will involve preparing and disseminating legal documents, assisting with legal proceedings, and supporting top prosecutorial attorneys in adult criminal cases, juvenile criminal cases, and abuse and neglect cases. Requirements

  • High school diploma or GED plus two years of general secretarial work. Comparable combination of education and experience may be considered.
  • Must successfully complete pre-employment background process.
  • Working knowledge of modern office practices and procedures and legal terminology.
  • Knowledge of and skill in using technology and related software systems with reasonable speed.
  • Maintain confidentiality when handling sensitive or restricted information.
  • Effective verbal and written communication.
  • Ability to build and maintain positive, collaborative relationships with colleagues, other agencies, and the public.
  • Present a professional appearance and communicate with others in a respectful and approachable way.

Responsibilities

  • Prepare, type, and disseminate a wide range of legal documents, including letters, orders, complaints, warrants, summonses, motions, subpoenas, and briefs, using office software and filing system.
  • Answer and direct phone calls; greet and assist walk-in visitors with inquiries.
  • Maintain and organize case files and attorney assignments; update records and enter data into agency databases; track and distribute files and reports.
  • Maintain and update scheduling calendars; coordinate with witnesses, victims, and grand jury members regarding changes or updates to legal proceedings.
  • Prepare the grand jury room and necessary materials to ensure smooth proceedings.
  • Creating, preparing, and maintaining files and information for the attorneys you support.
  • Efficiently distributing and tracking files, reports, and case information.
  • Maintaining meticulous records and statistics for organizational purposes.
  • Handling incoming and outgoing mail to keep our operations running seamlessly.
