Independently manage document workflows for subcontracts and legal files, ensuring version control, organization, and easy retrieval Draft, track, and update subcontracts using Ironclad, identifying discrepancies, and coordinating with Legal and project teams to keep processes moving. Handle confidential legal and contract-related information with sound judgment and discretion. Proactively manage complex calendars for multiple leaders, anticipating conflicts and shifting priorities Coordinate cross-functional meetings and training, ensuring appropriate preparation materials, agendas, and follow-up are completed. Support and troubleshoot technology needs for the Legal team, including documents, forms, trackers, and virtual meetings. Function as a go-to resource for administrative and technology-related questions within the department, escalating issues when appropriate. Manage day-to-day departmental correspondence, producing clear, professional communications aligned with team expectations. Prepare polished communications and materials to support leadership initiatives. Support the insurance risk analyst. Assist with job insurance certifications. Other duties as assigned. Requirements

  • 3-5 years of administrative experience, preferably supporting legal, compliance, construction, or professional services teams.
  • Proven ability to manage complex scheduling and coordinate across multiple leaders or departments.
  • Strong experience managing document workflows, version control, and records management.
  • Experience working with contract or document management systems (Ironclad experience preferred)
  • Advanced written communication skills with the ability to draft polished, professional correspondence.
  • High level of discretion and demonstrated trust in handling confidential and sensitive information.
  • Exceptional organizational skills and ability to manage multiple competing priorities independently.
  • MS Office Suite proficiency and comfort learning and supporting new tools and systems.
  • Proactive, solution-oriented mindset with the ability to anticipate needs and suggest process improvements.
  • Ability to work calmly and effectively in a fast-paced, deadline-driven environment.
  • Collaborative, professional demeanor with the confidence to support senior leadership.
