Position Overview The Supervising Document Systems Specialist provides enterprise-level oversight of document systems governance across engineering and construction operations, including large-scale, complex, client-facing infrastructure projects. This role ensures standardization, regulatory compliance, lifecycle integrity, and cross-platform consistency within Procore, Autodesk Vault, and SharePoint environments, while maintaining alignment with contractual client document requirements, EPC standards, and regulatory obligations. This position supports expanding infrastructure programs, multi-project coordination, external stakeholder engagement, and the leadership of document control personnel across high-visibility client projects. What You'll Do The Supervising Document Systems Specialist serves as the functional authority for document governance across power generation and utility infrastructure projects, including complex EPC and client-directed environments. This role is responsible for: Enterprise document lifecycle oversight Governance across multi-project and multi-client environments Administration of Autodesk Vault, and SharePoint Contractual document compliance and client deliverables Audit readiness and regulatory documentation oversight Mentoring of document control personnel The role operates at a senior technical and functional lead level and supports project teams working with external clients, regulatory agencies, and engineering partners.

Requirements

  • 7+ years of progressive document control or engineering documentation experience
  • Demonstrated experience supporting complex, client-facing EPC or infrastructure projects
  • Advanced proficiency in Procore, Autodesk Vault, and SharePoint Administration
  • Strong understanding of contractual document deliverables and revision control governance
  • Experience in utilities, power generation, EPC, or industrial infrastructure
  • Ability to manage high-volume documentation across multiple concurrent projects

Responsibilities

  • Complex Client Project Document Governance
  • Lead document control strategy for large-scale, multi-disciplinary infrastructure projects
  • Ensure compliance with client-specific document control requirements and contractual deliverables
  • Manage high-volume engineering documentation across multiple concurrent projects
  • Coordinate document transmittals and submittals to external clients and regulatory bodies
  • Serve as escalation point for document compliance issues affecting client deliverables
  • Enterprise Document Governance
  • Develop and enforce company-wide document control standards beside Department Manager.
  • Standardize naming conventions, metadata schemas, and revision protocols across all platforms
  • Ensure lifecycle governance compliance across active client projects
  • Conduct cross-system and cross-project compliance audits
  • System Oversight – Procore
  • Oversee configuration compliance within complex project environments
  • Maintain submittals, RFIs, transmittals, and drawing management standards
  • Ensure document workflows align with client contractual requirements
  • Identify workflow optimization initiatives
  • System Oversight – Autodesk Vault
  • Administer lifecycle states (WIP, Review, Released)
  • Oversee engineering drawing revision governance
  • Validate and approve controlled document releases
  • Ensure drawing packages meet internal and client standards
  • SharePoint Administration & Governance
  • Administer SharePoint document libraries and project collaboration sites
  • Design structured document libraries for complex client programs
  • Implement metadata, versioning controls, and retention policies
  • Manage permissions and external collaboration access where required
  • Support integration between SharePoint and project document systems
  • Regulatory & Audit Leadership
  • Lead internal document compliance audits
  • Ensure regulatory documentation readiness
  • Maintain enterprise document retention compliance
  • Team Leadership & Mentorship
  • Provide technical leadership to Document Specialist I & II personnel
  • Mentor staff supporting high-volume client projects
  • Assist in performance development planning
  • Support workforce allocation for complex project needs
  • Cross-Functional & Client Collaboration
  • Interface with Engineering, Project Controls, IT, Compliance, and external client representatives
  • Participate in client meetings related to document deliverables and compliance
  • Provide reporting metrics related to document integrity and project documentation status
