Our established family law firm, located in Atascadero, California, is seeking an experienced Office Manager with strong Bookkeeping skills to join our team. Requirements

  • 2+ years of Bookkeeping experience, ideally in a law firm or professional services setting
  • 3+ years of office management experience
  • Stellar communication and leadership skills
  • Proficiency with Microsoft Office and legal management software
  • Ability to juggle tasks, meet deadlines, and lead with confidence
  • A commitment to professionalism and discretion
  • A warm and engaging communications style with clients and staff
  • Absolute commitment to confidentiality, professionalism, and accuracy

Responsibilities

  • Keep the office running like clockwork
  • Maintain calendars, files, and records
  • Manage supplies, equipment, and vendor relationships
  • Client billing, invoicing, collections, and expense tracking
  • Help manage budgets and timekeeping
  • Manage all day-to-day bookkeeping operations
  • Maintain and reconcile trust (IOLTA) accounts in full compliance with legal standards
  • Track the replenishing retainers and managing trust account budgets
  • Perform monthly reconciliations and produce timely, accurate financial reports
  • Assist in budget development, cash flow tracking, and financial forecasting
  • Provide financial data support to attorneys
  • Ensure all processes adhere to regulatory and ethical accounting standards
  • Supervise and mentor administrative staff
  • Coordinate onboarding and training
  • Manage schedules and uphold office policies
  • Oversee legal software and IT tools
  • Ensure data security and compliance with regulations
  • Oversee front desk operations and client intake
  • Maintain a warm, professional, and confidential environment
