About The Position

Hourly rate is Non-Negotiable. The successful candidate will be hired at the minimum hourly rate. This position is specifically assigned to assist General Magistrates in the Unified Family and Dependency division. The essential functions of the position within the organization are to greet the public and direct them to the appropriate courtroom. Work involves assisting the Magistrates maintain order in physical and/or virtual courtrooms, managing remote zoom hearings and supporting litigants and attorneys appearing by zoom for hearings. The position is also responsible for providing administrative support to Magistrates, Administrative Assistants, and other court staff. The position works under the general supervision of the Administrative General Magistrate.The working schedule for this position is the following:Mondays - Fridays from 8:00 a.m. to 3:00 p.m.

Requirements

  • High school diploma or GED.
  • One (1) year of experience in customer service or working with the public.
  • Experience working in an administrative capacity.
  • Knowledge of established procedures for conducting judicial proceedings in courtrooms, chambers and via zoom.
  • Knowledge of local instructions and rules of practice issued by Judges, General Magistrates or Hearing Officers.
  • Knowledge of established courtroom procedures for official business between the Office of the Clerk of Courts, General Magistrates, Hearing Officers and court partners.
  • Knowledge of the use of legal instruments and records pertinent to the court and hearings.
  • Knowledge of the use of a computer, telephone, recording devices, printer, copiers, zoom platform and other programs used to conduct court business.
  • Ability to communicate with and establish rapport with Judges, General Magistrates, Hearing Officers, Law Enforcement Personnel, Clerks, Administrative Assistants, Judicial Assistants, Attorneys, litigants, witnesses and the general public.
  • Ability to deal with litigants, witnesses, experts, Clerks, Attorneys and the general public with the necessary tact, professionalism and courtesy.
  • Ability to remain alert and observant with attention to the necessary details during court sessions.
  • Excellent customer service skills.

Responsibilities

  • Assists Magistrates and Administrative Assistants with office work, such as, but not limited to answering telephones calls, greeting and directing the public, and responding to inquiries in an efficient and timely manner.
  • Manages the opening and securing of courtrooms and confirming all courtroom equipment is functioning properly.
  • Conducts the checking in of litigants, attorneys and witnesses and escorts them into the courtrooms.
  • Provides visitors, litigants, attorneys and witnesses with information about hearing, such as the date, time, and courtroom location.
  • Assists with maintaining order and decorum in the courtrooms and lobby area. Manages the zoom calendars.
  • Serves as a back-up court specialist for other divisions as necessary.
  • Receives and assists with distributing and delivering mail and documents to the Clerk's office, Judge's chambers and other divisions.
  • Produces copies, maintains files and obtains office supplies.
  • Prepares and submits timesheets and leave requests.
  • Assists callers and in-person visitors, litigants and attorneys.
  • Performs clerical duties such as answering telephones, utilizing a copy machine, scanner, fax, shredder, computer, printers and courtroom recording equipment.
  • Performs other related administrative tasks as needed.
