About The Position

Salary is Non-Negotiable. The successful candidate will be hired at the minimum salary. The Judicial Security Coordinator provides high-level executive, operational, and project management support in the Office of Judicial Security of the Eleventh Judicial Circuit. This critical role ensures the smooth operation of the Office of Judicial Security through advanced administrative coordination, communication facilitation, and operational support. The position handles sensitive information, including judges’ personal and confidential information, manages project timelines, coordinates interagency communication, and oversees administrative processes related to personnel, procurement, training, and data reporting. This position requires discretion, excellent organizational and communication skills, strong attention to detail, and the ability to operate independently. The position reports to the Director of Judicial Security and works independently, reporting major activities through periodic meetings.

Requirements

  • Associate's degree in business administration, criminal justice, or related field. Bachelor’s degree preferred.
  • Minimum of 5 years in an administrative support role, preferably in a law enforcement, legal, or court environment.
  • Knowledge of court systems, judicial processes, and public sector administrative procedures.
  • Knowledge of law enforcement protocols, emergency preparedness concepts, and security-related language (e.g., Code Brown alerts, access control, threat assessment).
  • Knowledge of regulations and best practices related to confidentiality, public records, and handling of personally identifiable information (PII).
  • Knowledge of managing sensitive administrative records, incident logs, and training documentation in compliance with retention policies.
  • Knowledge of Microsoft Office (Excel, Word, PowerPoint, Outlook, SharePoint), Adobe Acrobat, and database or recordkeeping systems and digital threat monitoring platforms.
  • Ability to calendar and coordinate meetings, draft correspondence, and prepare documents.
  • Ability to communicate concisely in writing and verbally, have excellent interpersonal skills and interact professionally with judges, law enforcement, justice partners and stakeholders, and the public.
  • Ability to organize and track multiple concurrent projects, training, or audits with minimal oversight.
  • Ability to proofread, format, and ensure accuracy in documentation, data reporting, and compliance tracking.
  • Ability to prioritize competing demands in a fast-paced, sensitive environment, often with tight deadlines.
  • Ability to handle unexpected challenges, rapidly shift priorities, and maintain composure in emergency or high-stress situations.

Responsibilities

  • Serves as the primary administrative liaison to internal and external stakeholders on behalf of the Director of Judicial Security.
  • Assists judges with completing statutory security forms and process the forms with system partners such as with the clerk of the courts, property appraiser, tax collector, etc.
  • Assists with adding, updating, and monitoring user accounts in the digital privacy service used by the circuit to protect judicial personal information.
  • Assists judges with judicial security software systems.
  • Assists with educating judges on social media best practices.
  • Monitors the circuit’s contracted digital privacy service for alerts of threats and/or statements against judges.
  • Handles confidential information, including personal identifying information (PII), with strict adherence to privacy laws and judicial standards.
  • Compiles, maintains, and distributes judges’ personal contact information to the Major of the Court Services Bureau for distribution to the proper emergency response agencies.
  • Assists the Director with calendaring meetings and appointments, including coordinating logistics.
  • Prepares, proofreads, and distributes reports, memoranda, and other official correspondence.
  • Maintains confidential records, security protocols, and filing systems.
  • Assists with the coordination and documentation of security operations, audits, and incident reports.
  • Facilitates communication between the Director of Judicial Security and court personnel, law enforcement, and outside agencies.
  • Tracks interagency agreements, MOUs, and contracts related to judicial security services.
  • Tracks and monitors deadlines, deliverables, and follow-up items.
  • Coordinates logistics for training, site visits, drills, and emergency response exercises.
  • Maintains attendance logs, feedback forms, and training certifications.
  • Organizes and maintains security documentation, incident logs, access control records, and training materials.
  • Supports project management efforts by preparing materials and tracking progress of initiatives.
  • Assists the Director with budget preparation through data collection and information gathering.
  • Assists with the background check process and manages documentation for new hires and contractors.
  • Coordinates issuance, renewal, and tracking of court-issued security credentials and access badges and handles sending invoices and receiving payments for issued badges when applicable.
  • Coordinates travel arrangements and process reimbursements and expense reports.
  • Assists with procurement of supplies, equipment, and services for the Office of Judicial Security.
  • Maintains awareness of court policies, procedures, and security regulations.
  • Notarizes documents relating to area of work - all notary registration fees and seals would be obtained at Court's expense.
  • Performs related work as required.
