About The Position

The Internal Service Writer plays a critical role in supporting the service department by coordinating and managing repair orders for dealership-owned inventory, warranty claims, and pre-delivery inspections. This role ensures that internal service operations run efficiently, documentation is accurate, and work is completed in a timely manner. The Internal Service Writer works closely with technicians, service managers, and other departments to maintain high standards of quality and efficiency.

Requirements

  • High school diploma or equivalent (required); additional training in automotive or RV service writing (preferred).
  • 1-2 years of experience in a service writing or administrative role, preferably in the RV or automotive industry.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in service management software and basic computer applications.
  • Attention to detail and accuracy in documentation.
  • Ability to work collaboratively with multiple departments.

Nice To Haves

  • Familiarity with RV systems, repair processes, and warranty guidelines is a plus.

Responsibilities

  • Repair Order Management:
  • Create and manage repair orders for dealership-owned inventory, including new RVs, trade-ins, and warranty work.
  • Accurately document all required repairs, parts, and labor for internal service jobs.
  • Ensure all repair orders are closed promptly and meet dealership and manufacturer requirements.
  • Coordination and Scheduling:
  • Work with service technicians and managers to prioritize and schedule internal service work.
  • Coordinate pre-delivery inspections (PDIs) to ensure units are ready for sale or delivery on time.
  • Communicate with sales and inventory teams regarding the status of units undergoing service.
  • Warranty and Compliance:
  • Process warranty claims with manufacturers, ensuring all required documentation is submitted accurately and on time.
  • Stay up-to-date with manufacturer guidelines and policies to ensure compliance.
  • Monitor and track warranty payments and address any discrepancies.
  • Documentation and Reporting:
  • Maintain accurate records of all internal service activities, including repair orders, warranty claims, and parts usage.
  • Generate reports on internal service performance, including turnaround times and costs.
  • Assist in maintaining inventory records for parts used in internal repairs.
  • Quality Control:
  • Review completed repairs to ensure they meet dealership and manufacturer standards.
  • Address any issues or discrepancies identified during quality control checks.
  • Collaboration and Communication:
  • Act as a liaison between the service department, sales team, and inventory management.
  • Provide regular updates to relevant departments on the status of internal service work.
