About The Position

The Contract Data Management Intern will support the Strategic Sourcing Team by assisting with vendor compliance tasks, documentation audits, and data organization needed for ongoing sourcing operations. Reporting to the Contract/Data Management Manager, this role will help ensure vendor records are complete, accurate, and audit ready. You will collaborate with internal teams and external vendors to gather required documentation, update records, and support compliance and audit processes. Your work will directly contribute to improving vendor data quality, operational efficiency, and internal audit readiness.

Requirements

  • High School Diploma required.
  • Currently pursuing a 4-year Bachelor’s degree in: Data Analytics, Business Administration, Finance, Computer Science, Environmental Sciences, Manufacturing, or a related field.
  • Proficiency in Microsoft Office Suite, with an intermediate level of experience in Microsoft Excel.
  • Tech-savvy with the ability and willingness to learn internal and external systems.
  • Strong understanding or interest in compliance, auditing, or data validation processes.
  • A highly detail-oriented nature while also maintaining discretion when handling confidential information.
  • The ability to act and operate appropriately in both a remote and in-office setting.
  • Ability to work cooperatively and collaboratively with all levels of employees and management to maximize performance, creativity, problem solving, and results.
  • Excellent verbal and written communication skills, with the ability to speak effectively with both employees of the organization and external vendors.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • A proactive, can-do attitude with a willingness to take ownership of tasks and drive them to completion.

Responsibilities

  • Contact vendors to collect missing or outdated W-9s and Certificates of Insurance (COIs), ensuring all forms are properly signed and dated.
  • Support compliance and audit procedures by validating vendor records and updating documentation as needed.
  • Escalate any vendor non-response, incomplete submissions, or complex issues to a member of management to ensure appropriate next steps are taken.
  • Assist the Strategic Sourcing Team with additional administrative and operational projects as needed.
  • Maintain strong data accuracy and attention to detail, prioritizing correct results over speed.
  • Demonstrate strong process retention and follow established workflows as instructed.
  • Provide excellent communication and customer service when interacting with vendors and internal partners.
  • Ability to travel and/or work onsite up to 10% for business needs, company events, and internship program activities.
  • Performs other duties as assigned or apparent.
