About The Position

The Integrated Administrative Specialist plays a critical role in supporting CHWP’s team-based care model by ensuring seamless administrative coordination for providers and integrated health services. Reporting to the Integrated Health Manager (IHM), this position serves as the primary clerical administrator for integrated care operations, focusing on efficiency, compliance, and patient engagement. Key responsibilities include: Provider Support & Scheduling: Coordinate provider schedules, manage logistics for patient appointments, and ensure timely communication of changes or updates. Administrative Oversight: Streamline clerical workflows and develop standardized protocols to improve efficiency and reduce administrative burden for providers. Communication Management: Facilitate intra-office communication between clinical teams, outreach staff, and leadership to maintain alignment with CHWP’s Mission, Vision, and Values. Quality & Compliance: Assist with provider competency assessments, ensuring timely completion in collaboration with Quality Improvement and Human Resources. Operational Coordination: Oversee administrative processes related to integrated health services, including patient engagement initiatives, documentation accuracy, and adherence to HIPAA and organizational policies. Continuous Improvement: Support development and implementation of best practices for administrative procedures, contributing to organizational effectiveness and patient-centered care. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while fostering collaboration across departments.

Requirements

  • 1-3 years’ related experience in office or healthcare setting required.
  • Associate degree preferred.
  • Knowledge of community health centers and provider administration.
  • Understanding of and sensitivity to issues of concern related to personnel.
  • Valid Ohio driver's license

  • Demonstrated expertise in relevant integrated practices, protocol, trends, and best practices in clinical areas assigned.
  • Demonstrated knowledge and success in affecting overall clinical operations.
  • Experience/Knowledge of accreditation processes and requirements, as well as all federal, state, and local regulations and standards associated with the delivery of care in a community health center environment.
  • Ability to manage multiple responsibilities and emergency situations successfully.
  • Proficiency in knowledge of office management, use of computers, software packages, and office machines
  • Occasional lifting of 40 – 50 lbs. and pushing of 5-20 lbs.
  • Sitting, standing, and walking approximately 80% of the time
  • A medium to high level of manual dexterity is required.
  • Bending and reaching approximately 20% of the time
  • Normal accessibility and mobility throughout the region are required.

  • Build and maintain strong professional relationships with providers, staff, and external partners.
  • Demonstrate interpersonal savvy and influence skills, especially when working with challenging providers or personnel.
  • Manage multiple priorities and deadlines in a fast-paced environment while maintaining accuracy.
  • Apply creative problem-solving to address operational challenges within short time frames.
  • Provide effective solutions for provider and staff needs using sound judgment and critical thinking.
  • Ensure attention to detail and accuracy in all scheduling, documentation, and reporting tasks.
  • Utilize computers and software systems for data entry, scheduling, and information retrieval.
  • Prepare and maintain meeting minutes, reports, and follow-up action items.
  • Support quality compliance, improvement, and risk management initiatives for the health center.
  • Assist with certification projects such as PCMH and Joint Commission requirements.
  • Maintain compliance with all corporate policies, procedures, and regulatory standards.
