Job Description: We are seeking a proactive and detail-oriented Intake Specialist to join Job Duck and support a growing legal practice focused on business and estate planning. In this role, you will serve as the first point of contact for potential clients, ensuring a professional and seamless experience from the initial interaction through scheduling and follow-up. You will play a key role in managing inbound and outbound communications, qualifying leads, and maintaining an organized and efficient intake process. This position is ideal for someone who thrives in a client-facing environment, communicates confidently, and takes ownership of their responsibilities. Your ability to balance professionalism, efficiency, and a client-centered approach will be essential to success in this role.

Requirements

  • Schedule: Monday to Friday, 9:00 AM to 5:00 PM
  • Time Zone: CST
  • Experience in legal environments, particularly estate planning, is a plus but not required
  • Soft sales skills are highly desirable
  • Ability to handle inbound and outbound calls efficiently
  • Experience managing client intake or lead qualification processes preferred
  • CRM systems (experience preferred)
  • VOIP systems (experience preferred)
  • Smith.ai or similar answering services
  • Strong verbal and written communication skills
  • High level of English proficiency
  • Detail-oriented with strong organizational skills
  • Ability to manage multiple leads and tasks efficiently

Responsibilities

  • Serve as the first point of contact for potential clients via phone calls, website forms, and emails
  • Ensure a professional and positive client experience at all times
  • Collaborate with internal tools and systems to track and manage leads
  • Send relevant information and follow-ups to potential clients
  • Schedule appointments and manage calendars efficiently
  • Screen and assess potential clients based on provided criteria
  • Conduct inbound and outbound calls to engage and qualify leads
  • Send appointment reminders and ensure client readiness
  • Maintain ownership of the full intake process from first contact to scheduling
  • Assist candidates in completing questionnaires and intake forms
