Job Description: This role supports a fast-paced legal intake and sales environment where every interaction helps guide potential clients through their first step toward representation. As an Intake and Sales Specialist at Job Duck, you will be responsible for handling inbound and outbound calls, supporting the sales process, and ensuring prospective clients feel informed, heard, and confidently guided. You will play a key role in drafting engagement-related documentation, coordinating consultations, and maintaining accurate records throughout the intake pipeline. This position is ideal for someone who enjoys client-facing work, follows up diligently, and can balance empathy with professionalism while moving conversations forward. Your daily work will directly impact conversion, client experience, and overall efficiency.

Requirements

  • Minimum 1 year of experience working as an intake specialist or in a customer-service role
  • Sales skills and experience required
  • Strong verbal and written communication skills
  • High attention to detail and strong analytical ability
  • Sales aptitude with the ability to address objections and guide clients through a decision process
  • Client empathy while maintaining professional boundaries
  • Consistent follow-up and organized client communication
  • Comfort working with CRM systems and learning new tools quickly
  • Ability to manage multiple conversations and tasks simultaneously
  • Location and timezone: Remote, Eastern Standard Time (EST)
  • Working Hours: Monday to Friday
  • Expected call volume: High (40 calls on average per day)
  • Software and Tools Required: Adobe, Google, Lawmatics, and Dialpad

Responsibilities

  • Follow up with prospective clients to move them through the intake pipeline
  • Participate in pre engagement and post representation glidepath processes
  • Schedule appointments and legal consultations
  • Conduct inbound and outbound intake and sales calls
  • Support the sales team during the client intake process
  • Maintain accurate and up to date client records in the CRM
  • Draft retainer agreements and non engagement letters
  • Conduct smile and dial GAS calls to existing clients, former clients, and prospective new clients who did not engage the firm
  • Accept payments from clients in accordance with firm procedures
  • Compile and track metrics related to leads, conversions, and sales activity
