About The Position

AnswersNow is looking for an Intake Manager who will be responsible for overseeing and optimizing the learner / family intake process within the organization, including the management of intake specialists. This role involves coordinating and managing the flow of incoming requests, ensuring efficiency, accuracy, and timely processing. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to streamline processes to enhance overall operational effectiveness. The Intake team is the first point of contact for all families seeking ABA services with AnswersNow, helping families navigate access to top quality ABA care, onboarding them and keeping in touch as they get services started. AnswersNow is committed to guiding families throughout the intake process to get them connected to a clinician as quickly as possible.

Requirements

  • Proven experience in operations management or a similar role, with a focus on process improvement.
  • Proficiency in project management tools and software.
  • Knowledge of relevant regulations and compliance standards is a plus.
  • Strong knowledge of insurance verification, prior authorizations, and payer requirements
  • Proficiency with EHR systems and intake management platforms
  • Excellent communication, organizational, and problem-solving skills
  • Detail oriented
  • Willingness to be flexible and accountable and flourish in a fast-paced environment
  • Juggle multiple tasks effortlessly, never losing sight of priorities and deadlines

Responsibilities

  • Process Optimization: Evaluate current intake procedures and identify areas for improvement to enhance efficiency and effectiveness.
  • Ownership of Intake Process: Take ownership of the intake process from start to finish, ensuring smooth operations and timely completion of tasks.
  • Management of Intake Specialists: Supervise and provide leadership to intake specialists, including hiring, training, performance management, and professional development.
  • Workflow Management: Develop and implement standardized workflows for handling incoming requests, including prioritization and allocation of resources.
  • Cross-Functional Collaboration: Collaborate with various departments to understand their intake-related needs and requirements, ensuring alignment with organizational goals.
  • Quality Assurance: Implement quality control measures to ensure accuracy and completeness of intake data and documentation.
  • Performance Monitoring: Establish key performance indicators (KPIs) to measure the effectiveness of the intake process and implement strategies for continuous improvement.
  • Training and Development: Provide training and guidance to intake specialists to ensure adherence to established procedures and standards.
  • Technology Utilization: Identify and leverage technology solutions to automate and streamline the intake process where possible.
  • Risk Management: Identify potential risks and bottlenecks in the intake process and develop mitigation strategies to minimize disruptions.
  • Reporting and Analysis: Generate regular reports on intake process performance, highlighting areas of success and opportunities for improvement.
