🌟 Intake Manager – Be the Compassionate First Voice Families Hear 🌟 Location: Chadds Ford, PA | Company: Visiting Angels Are you an experienced non-medical home care intake professional or a n Inside Sales professional (with at least 5 to 7 years of experience) who understands the urgency and emotion behind every call? At Visiting Angels, you will be the first point of contact for families navigating care at home —helping them make informed decisions around personal care, companionship, and daily living support . This is a high-trust role requiring both deep empathy and strong intake discipline , where your ability to guide conversations directly impacts whether families receive the help they need.

Requirements

  • At least 7 years of experience in customer service, intake, or care coordination, or phone-based sales.
  • A natural ability to connect with others over the phone — especially during emotional or stressful times.
  • Exceptional listening and communication skills, with a gift for translating complex needs into real solutions.
  • Empathy, warmth, and patience — you lead with heart and follow through with professionalism.
  • Strong organizational and critical-thinking skills, able to manage multiple tasks without losing sight of the human side of your work.
  • Comfort using database software and managing digital records accurately and securely.

Responsibilities

  • Own the Intake Journey from First Call to Start of Care
  • Manage inbound inquiries with urgency and structure—qualifying needs, setting expectations, and guiding families toward timely service initiation.
  • Conduct In-Depth Phone Assessments (Non-Medical Focus)
  • Assess ADLs and IADLs such as bathing, dressing, mobility, meal preparation, medication reminders, transportation, and companionship needs.
  • Understand home environment, fall risk, routines, and family support systems —all through thoughtful, well-structured conversations.
  • Guide Families Through Private-Duty Care Decisions
  • Explain how non-medical home care works—services, scheduling, caregiver matching, and pricing—helping families move from uncertainty to clarity and action.
  • Balance Compassion with Conversion
  • You know how to hold space for emotional conversations while still moving toward a decision. You follow up consistently and ensure no qualified inquiry is left unaddressed.
  • Enable Strong Caregiver Matching
  • Partner closely with scheduling to ensure caregivers are aligned with client needs, personality, preferences, and availability —a critical factor in retention.
  • Maintain Accurate, Compliant Documentation
  • Capture detailed intake notes in CRM systems to support seamless onboarding and continuity of care.
  • Strengthen Referral Pathways
  • Work with assisted living communities, discharge planners, and local professionals to ensure smooth, professional intake experiences for referred families.
