As the first voice families hear, you’ll help guide them through the intake process with compassion, organization, and professionalism. We are looking for a highly organized, relationship-driven professional who thrives in a fast-paced environment and wants to make a meaningful impact. This role supports all Autism 360 locations and plays a key part in helping families access life-changing services. As an Intake Coordinator, you will serve as the central point of contact for new learners and their families while managing the intake and admissions process from start to finish.

Requirements

  • Must be at least 18 years of age
  • High school diploma or equivalent required

  • Successful completion of criminal background check and drug screening
  • Ability to lift up to 25 lbs.
  • Ability to maintain confidentiality and professionalism

Nice To Haves

  • Bachelor’s degree in Psychology, Special Education, or related field preferred
  • Experience working with children, adolescents, or adults with special needs preferred
  • Experience with ASD, ADHD, or behavioral disorders strongly preferred
  • Minimum of 1 year of related experience preferred
  • Bilingual strongly preferred

Responsibilities

  • Serve as the primary point of contact for incoming referrals, inquiries, and intake calls across all Autism 360 locations
  • Manage the full intake and admissions process, including entering referrals and learner information into CentralReach
  • Schedule and conduct clinic tours while promoting Autism 360’s mission, services, and programs
  • Maintain learner waitlists, tracking logs, and coordinate admissions based on clinic capacity and staffing
  • Coordinate learner onboarding, schedules, availability, and start dates
  • Partner with HR and leadership to align new learner starts with staff onboarding and availability
  • Maintain accurate learner records and ensure all required documentation is received, tracked, and audit-ready
  • Manage incoming faxes, online referral systems, and admission documentation
  • Build and maintain strong relationships with referral sources, care managers, physicians, schools, and community partners
  • Support community outreach and marketing initiatives to drive referrals and agency growth
  • Coordinate learner medication needs and staff training with clinical and nursing staff
  • Maintain confidentiality and provide professional, compassionate communication with families and partners
  • Collaborate with leadership to support operational planning and learner placement
