About The Position

This role offers an opportunity to support a fast-paced tenant law practice by serving as the first point of contact for potential clients. As an Intake Specialist with Job Duck, you will guide callers through their initial experience, helping them feel understood while gathering essential details needed by the legal team. Your work will directly impact the firm’s ability to identify viable cases and support individuals navigating stressful and complex situations. You will thrive in this position if you enjoy engaging with people, communicating clearly, and managing information with care and precision. Someone who remains calm under pressure, listens attentively, and confidently directs conversations will excel in this role.

Responsibilities

  • Review and organize documents, statements, and other materials submitted by clients
  • Manage the intake pipeline and ensure accurate recordkeeping
  • Input and track information in Filevine and Lead Docket
  • Communicate consistently with the team regarding new leads and case opportunities
  • Send engagement letters and follow up as needed
  • Maintain professionalism, empathy, and clarity in every conversation
  • Answer all incoming phone calls and serve as the primary point of contact for prospective clients
  • Conduct thorough intake calls to assess whether callers have a viable case
  • Vet potential clients based on firm criteria and clearly document findings
