Job Description: We are looking for a professional, compassionate, and highly organized Intake Specialist to serve as the first point of contact for potential clients. This role is crucial in creating a positive first impression, gathering essential case information, and ensuring callers are properly vetted and scheduled with the appropriate team members.

Requirements

  • Previous experience in intake, customer service, or client-facing roles preferred.
  • Strong communication skills with the ability to build rapport quickly.
  • Excellent listening, note‑taking, and information‑gathering skills.
  • Ability to multitask in a fast-paced environment while maintaining accuracy.
  • Professional phone etiquette and a calm, patient demeanor.

Nice To Haves

  • Familiarity with CRM or case management systems is a plus.

Responsibilities

  • Support administrative tasks related to client onboarding.
  • Communicate with attorneys or team members when a caller requires immediate follow-up.
  • Schedule consultations and ensure all necessary information is prepared before the meeting.
  • Vet callers to determine eligibility, case fit, and next steps based on established criteria.
  • Answer and manage incoming phone calls while providing a welcoming and professional experience.
  • Maintain accurate documentation and update internal systems with intake notes and call details.
  • Conduct detailed intake interviews to collect essential information from potential clients.
