About The Position

MetalSpaces is a specialized division of VIVA Railings focused on custom architectural metal solutions for commercial environments. We work with architects, designers, general contractors, and owners to bring design concepts to life through decorative metal panels, screens, feature elements, branded environments, and other custom fabricated products. The Inside Sales Associate is a hybrid support role responsible for helping manage pipeline activity, inbound opportunities, bid coordination, and early-stage project support. This position works closely with Business Development, Estimating, Engineering, and Project Management to keep opportunities organized, moving, and properly documented throughout the sales cycle. The right candidate will be organized, proactive, detail-oriented, and comfortable working in a fast-paced environment where priorities can shift quickly.

Requirements

  • Experience with Salesforce or similar CRM system required
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities at one time
  • Clear written and verbal communication skills
  • Proficiency in Microsoft Office and general business systems
  • Positive attitude with willingness to learn and grow

Nice To Haves

  • Bachelor’s degree preferred (Business, Construction, Architecture, or related field)
  • 1–3 years of experience in sales support, inside sales, construction, or building products preferred

Responsibilities

  • Create and maintain Opportunities, Accounts, and Contacts in Salesforce
  • Ensure opportunities are properly staged, assigned, and updated
  • Track follow-up dates, next steps, and project movement
  • Maintain visibility of active and early-stage opportunities
  • Assist with pipeline reporting and forecasting updates
  • Monitor inbound leads from email, website inquiries, and phone calls
  • Capture project details and create Opportunities as needed
  • Route opportunities to the appropriate internal owner
  • Ensure prompt response and follow-up on incoming requests
  • Monitor RFQs, bid invites, and due dates
  • Coordinate with Estimating regarding scope, timing, and submissions
  • Track proposal revisions and submission status
  • Assist with prequalification requests and bid documentation
  • Coordinate sample requests and communicate lead times
  • Support design meetings and internal coordination calls
  • Track design-stage opportunities and budget requests
  • Assist with organizing drawings, files, and supporting documents
  • Work closely with Sales, Estimating, Engineering, and Project Management
  • Help track open items and internal deadlines
  • Maintain organized digital files across Salesforce, Box, and Wrike
  • Ensure handoff information is accurate and complete
  • Research architects, contractors, designers, and target accounts
  • Assist with territory development lists and market research
  • Maintain accurate CRM data and account records
  • Identify duplicates or outdated information for cleanup
