Summary: We are seeking a highly organized, detail-oriented, and compassionate person to manage the scheduling of complex infusion therapies for patients with chronic and acute conditions. This role is critical in ensuring seamless coordination between patients, providers, pharmacy, and clinical staff to deliver timely and safe infusion care.

Requirements

  • High school diploma or equivalent required.
  • Minimum 2 years of experience in medical scheduling, preferably in infusion, oncology, or specialty care.
  • Familiarity with infusion protocols, biologics, and specialty medications.
  • Proficiency in EHR systems (e.g., Epic) and scheduling software.
  • Strong communication, critical thinking, and multitasking skills.
  • Ability to work in a fast-paced, patient-centered environment with empathy and professionalism.

Responsibilities

  • Interacts with patients, visitors, and staff using Carolina Care while complying with all UNC Health Nash policies, HIPAA, regulatory guidelines and departmental policies. Assist and respond to customer inquiries and needs in person, by phone, and/or electronic communication.
  • Coordinate and schedule infusion appointments based on treatment protocols, medication availability, and patient/provider preferences.
  • Collaborate with physicians, nurses, pharmacists, and nurse navigators to ensure accurate and timely scheduling of multi-step or high-risk infusions.
  • Verify insurance authorization has been approved prior to scheduling.
  • Maintain up-to-date knowledge of infusion protocols, drug-specific timing requirements, and facility resources.
  • Communicate clearly with patients regarding appointment logistics, preparation instructions, and follow-up care.
  • Monitor and adjust schedules to accommodate urgent add-ons, delays, or adverse reactions.
  • Document all scheduling activities in the electronic health record (EHR) and scheduling systems.
  • Serve as a liaison between clinical teams and administrative departments to resolve scheduling conflicts or barriers to care.
  • Answers incoming calls from patients who want to schedule, reschedule, or cancel appointments or have questions about treatment logistics.
