About The Position

The Incoming Assistant provides back-end support to the Incoming team so they can operate smoothly and efficiently. Through many outbound phone calls and answering consignor questions, the Incoming Assistant assures a high level of customer service and organizational support for the entire department. This position regularly deals with all aspects of auctions including pre-sale, sale, and post-sale questions and requests. This part-time role will work 16 - 20 hours a week between 8:00am - 5:00pm CST, Monday-Friday.

Requirements

Must be very skilled in proofreading, analysis, and extremely detail oriented.
Excellent customer service skills with ability to use judgement and exercise reasoning.
Strong interpersonal and listening skills.
Ability to use discretion in maintaining confidentiality and handling of sensitive information.
Excellent verbal and written communication skills.
Ability to efficiently operate office equipment such as scanner, 10-key, copier, label maker, etc.
Must have the ability to type 50 wpm.
Ability and willingness to learn and follow all company rules for firearm safety.
High school diploma or GED equivalent, and two (2) years’ administrative support experience required.
Intermediate proficiency using Microsoft Office (Outlook, Word, Excel) required.

Responsibilities

Assists the department in collecting, organizing, verifying accuracy, and updating documents and files.
Creates and sends out correspondence as directed.
Works closely with VP of Acquisitions & Incoming to gather all information for pick-ups and visits.
Assists in creating inventory spreadsheets for purchase at other auctions.
Maintains appointment tables and ensures department is prepared for appointments with proper materials.
Prepares gun show materials for TX team prior to shows.
Maintains accurate department filing and scanning of data as required.
Makes outbound calls related to consignor questions about the consignor’s guns or auction inventory.
Completes appropriate forms and documentation, which may include FFL Forms, manifests, and shipping release requests.
Matches incoming items with paperwork, tracks packages, requests factory paperwork, department mailing, updates packages log and other administrative duties as needed.
Responsible for assisting with coordinating and confirming travel details for shows, events, and auctions.
Works auction weekends (approximately 6 per year).
Overtime and some weekend work may be required.
Assist with Employee Monthly functions.
Other duties as assigned.
