About The Position

The Incoming Assistant provides back-end support to the Incoming team so they can operate smoothly and efficiently. Through many outbound phone calls and answering consignor questions, the Incoming Assistant assures a high level of customer service and organizational support for the entire department. This position regularly deals with all aspects of auctions including pre-sale, sale, and post-sale questions and requests. This part-time role will work 16 - 20 hours a week between 8:00am - 5:00pm CST, Monday-Friday.

Requirements

  • Must be very skilled in proofreading, analysis, and extremely detail oriented.
  • Excellent customer service skills with ability to use judgement and exercise reasoning.
  • Strong interpersonal and listening skills.
  • Ability to use discretion in maintaining confidentiality and handling of sensitive information.
  • Excellent verbal and written communication skills.
  • Ability to efficiently operate office equipment such as scanner, 10-key, copier, label maker, etc.
  • Must have the ability to type 50 wpm.
  • Ability and willingness to learn and follow all company rules for firearm safety.
  • High school diploma or GED equivalent, and two (2) years’ administrative support experience required.
  • Intermediate proficiency using Microsoft Office (Outlook, Word, Excel) required.

Responsibilities

  • Assists the department in collecting, organizing, verifying accuracy, and updating documents and files.
  • Creates and sends out correspondence as directed.
  • Works closely with VP of Acquisitions & Incoming to gather all information for pick-ups and visits.
  • Assists in creating inventory spreadsheets for purchase at other auctions.
  • Maintains appointment tables and ensures department is prepared for appointments with proper materials.
  • Prepares gun show materials for TX team prior to shows.
  • Maintains accurate department filing and scanning of data as required.
  • Makes outbound calls related to consignor questions about the consignor’s guns or auction inventory.
  • Completes appropriate forms and documentation, which may include FFL Forms, manifests, and shipping release requests.
  • Matches incoming items with paperwork, tracks packages, requests factory paperwork, department mailing, updates packages log and other administrative duties as needed.
  • Responsible for assisting with coordinating and confirming travel details for shows, events, and auctions.
  • Works auction weekends (approximately 6 per year).
  • Overtime and some weekend work may be required.
  • Assist with Employee Monthly functions.
  • Other duties as assigned.
