Adventist HealthCare seeks to hire an experienced Imaging Services Coordinator for our Outpatient Imaging office in White Oak, MD who will embrace our mission to extend God's care through the ministry of physical, mental, and spiritual healing. As an Imaging Services Coordiantor you will: Coordinates with Centralized Scheduling, confirming appointments, gathering demographic and insurance data and completing the insurance pre-certification process. Ensures the timely and proper collection of prior exams and reports needed for proper PET interpretation and comparison. Proactively reviews all scheduled exams in advance and serves as the Physician Office contact to resolve outstanding issues related to demographics, patient history, clinical requirements, diagnosis, etc. Obtains pre-authorizations for Physician Orders for diagnostic testing or procedure as required by the patient's insurance carrier. Communicates with physician/clinical staff on reimbursement issues and/or pre-certification requirements by the patient's insurance carriers. Communicates with Insurance Authorization Coordinators the need for updated referrals Communicates with front office manager and staff in the case of denials that will require rescheduling and/or peer-to-peer review by the ordering physician. Communicates as necessary and in a timely fashion with front office, centralized scheduling and imaging center staff with regards to the status of pending authorizations. Identifies process gaps and closes the loop Builds relationships with Physicians Promotes AHC OP imaging to primary referrals. Ensure timely collection of prior exams and reports to support planning and successful completion of IR procedures Review scheduled procedures in advance and act as the main contact for physician offices to resolve any issues related to clinical requirements, demographics, or patient history Maintain detailed logs of scheduled procedures and approvals/denials for tracking and reporting Assist clinical staff with setting up for procedures, cleaning post-procedure, and managing necessary equipment and supplies. Responsibilities may also include traveling to other locations as needed to provide procedures assistance and support. Pre-label slides and complete specimen requisitions for pathology and cytology when needed Collect and verify billing information to support accurate and timely payment and insurance coverage Contact patients to schedule procedures and inform them of any necessary lab work or pre-procedure instructions Manage and maintain the IR schedule, including: Receiving IR requests and submitting them for radiologist approval, Scheduling approved IR exams (within 7 days of receiving the request or prior images), Logging and updating all requests in the IR spreadsheet Assist with thyroid biopsy setup and import prior imaging as needed Participate in inventory management, including preparing, receiving, and stocking supplies Provide cross-coverage and support for other Imaging Coordinators as well as front desk during PTO, high-volume days, or as departmental needs arise, to ensure continuity of patient care and workflow
