The Human Resources Secretary/Administration Building Receptionist is responsible for confidential clerical support that is complex and requires the ability to work in an independent, responsible, and professional manner. This position assures smooth and efficient operation of the Human Resource department. The Human Resources Secretary/Administration Building Receptionist reports directly to the Human Resources Director with directives from the Human Resources Coordinator. Essential Functions: Receptionist: Responsible for answering and directing phone calls to the appropriate administrative department ensuring efficient communication. Responsible for ensuring the security of the administrative building by greeting and screening visitors prior to entering the building. Responsible for maintaining the visitor log. Responsible for maintaining and distributing the administration and school contact lists. Responsible for the sorting and distribution of daily interoffice mail, USPS, and other vendor deliveries. Responsible for maintaining the calendar for the first floor conference room. Assist the Registration Department with the collection of registration paperwork from parents/guardians. Perform other duties and responsibilities as may be assigned and are consistent with this position. Human Resources: Responsible for maintaining accurate and up-to-date employee records while following RI retention requirements including but not limited to personnel files, personnel medical files, I-9 documentation, leave and medical records, etc. Performs routine confidential administrative responsibilities, including but not limited to letters, reports, correspondences, forms, etc., in a timely and efficient manner. Responsible for providing support to applicants and employees by answering frequently asked questions relating to HR and WED policies, Attendance Management System, HR/Payroll database, hiring process, etc. Responsible for the accurate entry of all new employees into the HR/Payroll Database and Attendance Management System. Assists the Secretary to the Director of Human Resources in ensuring that all staff provide required new hire paperwork, BCI’s, complete required district trainings, certifications, etc…. using systems in place within the HR Department. Responsible for assisting the Secretary to the Director of Human Resources as needed. Perform other duties and responsibilities as may be assigned and are consistent with this position.
