About The Position

The Payroll Specialist is responsible for ensuring accurate and timely processing of the credit union’s payroll in compliance with federal, state, and local regulations. This role supports payroll administration, maintains payroll records, audits timekeeping data, processes adjustments, and responds to employee payroll inquiries with a high level of customer service. The Payroll Specialist works closely with Human Resources, and department managers to ensure payroll accuracy, assist with reporting, and maintain confidentiality and data integrity throughout all payroll functions.

Requirements

  • High school diploma or equivalent required.
  • Two to four years of payroll processing experience preferred.
  • Experience with HRIS and payroll/timekeeping systems required.
  • Knowledge of payroll regulations, including FLSA and tax withholding rules.
  • Understanding of payroll best practices, processing cycles, and reconciliation methods.
  • Familiarity with wage garnishments, deductions, and benefit related payroll calculations.
  • Attention to Detail: Extremely accurate data entry and auditing abilities.
  • Analytical Skills: Ability to identify payroll discrepancies and perform root cause analysis.
  • Technical Proficiency: Skilled in payroll and HRIS systems, Microsoft Excel, and reporting tools.
  • Communication: Strong written and verbal communication skills with ability to explain payroll concepts clearly.
  • Confidentiality: Ability manage sensitive payroll and employee information with discretion.
  • Time Management: Ability to manage deadlines in a fast paced environment
  • Customer Service: Professional and solution oriented approach when supporting employees and supervisor.

Nice To Haves

  • Associate degree in Accounting, Business Administration, Human Resources, or related field preferred.
  • Payroll certification (FPC or CPP) is a plus
  • Prior experience in a financial institution or multi state payroll environment is a plus.
  • Experience interpreting payroll reports and resolving discrepancies preferred.

Responsibilities

  • Payroll Processing & Administration Prepare and process biweekly payroll, ensuring accuracy of earnings, deductions, taxes, and direct deposits.
  • Review and validate employee time sheets, and electronic timekeeping entries for completeness and accuracy.
  • Process new hires, terminations, pay changes, supplemental pay, and manual checks as appropriate.
  • Verify payroll data for compliance with established policies, wage and hour laws, and regulatory requirements.
  • Maintain payroll records and employee files in accordance with retention and confidentiality standards.
  • Auditing & Compliance Audit payroll reports for accuracy, identifying discrepancies and making corrections prior to final payroll submission.
  • Ensure payroll practices follow federal, state, and local regulations including FLSA, tax withholding laws, and wage garnishment rules.
  • Assist with year end payroll functions including W2 processing, tax reconciliations, and reporting.
  • Employee Support & Communication Respond promptly to employee payroll questions, providing clear and professional explanations.
  • Support employees and supervisors with timekeeping system questions and troubleshooting.
  • Communicate payroll deadlines, changes, and reminders to employees and leaders.
  • Reporting & Data Management Run payroll reports for HR, Finance, and management as needed.
  • Assist with audits by providing payroll documentation, audit trails, and summary reports.
  • Support the preparation of monthly, quarterly, and annual payroll reports and internal reconciliations.
