About The Position

Spotsylvania County Public Schools is seeking an Office Receptionist to support the Human Resources department. Daily responsibilities of this role will include a variety of administrative tasks including directing phone calls and HR lobby maintenance. As a member of the Human Resources department, this role may also assist with any projects or tasks related to the goals, objectives and programs of the department.

Requirements

  • High School Diploma or GED
  • One (1) year of receptionist experience, ideally within an Human Resources department

Responsibilities

  • Manages a multi-line phone system, screens and transfers calls to appropriate staff, and takes messages as appropriate.
  • Receives and screens visitors, staff members, telephone calls and incoming mail, personally responds to inquiries by making decisions which in the employee’s judgment do not require the supervisor’s attention.
  • Provides customer support to staff, parents, students, visitors, contractors, new hires, and public
  • Maintains the appearance of the HR lobby area, including HR conference rooms, ensuring a welcoming and inviting space to hold visitors and productive work environment for staff
  • Assists HR Administrative Assistant with file distribution and records management; provides ad hoc support to HR team members as needed
  • Conducts individual orientations for outside contractors, food service employees and volunteers
  • Completes Central Registry and fingerprinting process
  • Verifies I9 documentation and completes required paperwork
  • Prints employee badges
  • Participates in summer new hire orientation and supports onboarding procedures as requested by HR team members
  • Works successfully within multiple HR databases
  • Serves as point of contact for the distribution of all new and replacement badges in the county ensuring badges are properly signed for and any monies due are collected and properly accounted for
  • Prepares and replies to correspondence on own initiative or from brief notes
  • Prepares, produces, and makes appropriate distribution of all correspondence, including letters, memoranda; reports, recommendations, notices, orders, requests, schedules, etc and any other necessary informational items
  • Covers the front desk from the hours of 3:00pm to 5:00pm daily; serves as back up to the Front Desk Lobby Receptionist when needed outside of traditional timeframes
