This role involves initiating HR related transactions in PeopleSoft, including various types of hires (Faculty, TEAMS, Post-Docs, OPS, Graduate Assistants, Student Assistants, Federal Work Study, Fellows, Courtesy/Adjunct appointments, and Volunteers). This includes data entry, ensuring proper documentation, and timely forwarding to approvers. The position is responsible for creating position descriptions, facilitating requests for reclassifications, special pay increases, and new positions. It also processes various payments and requests such as lump sums, additional pay, relocation reimbursements, leave of absence, leave cash outs, terminations, FTE changes, SPIs, position description updates, and administrative/fellowship supplements. The incumbent will manage time entry, ensure timely approval, track faculty leave, monitor payroll for accuracy, and process emergency check requests. Assistance with tenure and promotion processes and other faculty evaluations is also required. The position ensures approved recruitments are posted via PageUp, working with the Associate Director for Faculty Affairs on faculty recruitment aspects like compliance training, advertisements, and offer letters. It supports other classifications' recruitments, including postings, applicant pool review, drafting offer letters, criminal background checks, and reference checks. The role monitors selection criteria, advises hiring authorities on proper format and compliance, ensures work permits for student appointments, and closes out recruitments electronically. New hire processes, including relocation coordination, onboarding, and Gator1 card requests, are facilitated. General guidance on HR policies and procedures is provided to all School employees. The incumbent liaises with the University International Center Office and University Tax Services for foreign national hires (H1 and Permanent Resident statuses) and with University Exchange Visitor Services for J1 visa holders, ensuring all necessary documentation for valid work authorization. Additionally, the role monitors outside activity forms and immigration statuses for compliance and oversees required compliance trainings for all department employees.
