About The Position

The Human Resources Coordinator is responsible for supporting and maintaining the clinic’s human resources infrastructure, with a primary focus on ensuring HR policies, procedures, and practices remain compliant with current state and federal employment regulations. This role oversees employee personnel files, supports employee relations matters, and assists leadership in handling workplace concerns and disputes. As a key role in a new and growing Rural Health Clinic, the HR Coordinator helps establish consistent, compliant HR standards while supporting a fair, professional, and well-documented workplace environment.

Nice To Haves

  • Experience working with California employment laws strongly preferred
  • Healthcare, RHC, or clinic experience preferred
  • HR certification (e.g., SHRM, PHR) is a plus

Responsibilities

  • HR Policy Development & Compliance Develop, review, update, and maintain HR policies and procedures to ensure alignment with current federal, state (California), and local employment laws.
  • Monitor changes in employment regulations and proactively recommend policy updates to leadership.
  • Ensure HR policies are clearly documented, communicated, and accessible to staff.
  • Support leadership during audits, surveys, or reviews related to HR compliance.
  • Employee Records & File Management Maintain complete, accurate, and confidential employee personnel files in compliance with regulatory requirements.
  • Ensure timely and accurate documentation of employee status changes, disciplinary actions, and performance-related records.
  • Track employee licenses, certifications, trainings, and required renewals.
  • Ensure personnel files meet retention and documentation standards.
  • Employee Relations & Dispute Management Serve as a point of contact for employee concerns, questions, and workplace issues.
  • Assist leadership in handling employee disputes, grievances, and disciplinary processes in a consistent and compliant manner.
  • Document employee relations matters thoroughly and professionally.
  • Support investigations as needed, including gathering documentation and coordinating follow-up actions.
  • Promote fair, respectful, and professional workplace practices.
  • HR Administration & Support Support onboarding and offboarding processes, including employment documentation and policy acknowledgements.
  • Assist with recruitment activities as needed, including job postings and interview coordination.
  • Track required employee training (e.g., harassment prevention, HIPAA, safety).
  • Prepare HR-related reports and documentation as requested by leadership.
  • Collaboration & Communication Work closely with clinic leadership and department managers to ensure consistent application of HR policies.
  • Communicate HR updates, policy changes, and compliance requirements clearly to staff.
  • Support meetings, trainings, and HR initiatives as assigned.
